    Mail Merge - advanced (xp-2002)

    Hi Everyone...
Great board! This is a wonderful place!

I have a query about the Mail Merge features of word, using data from an excel file. (What I want probably requires access or programming, but I need to avoid both.) The excel file is set up with pivot tables (great feature... just discovered it) for a children's holiday program I'm coordinating.

The data file looks a little like this:
    Kid1....grade...other data...Parent1Name...Address
    Kid2....grade....other data...Parent2Name.... Address
    Kid3....grade....other data...Parent2 Name.... Address
    Kid4....grade....other data...Parent3Name.... Address

To express that in english, each record has info on one kid, and for a family of 2+ kids the parent information/address etc is duplicated. That took a long time to get to my question... which is:
when I transfer it to Word for a mailout, I'd like to have one letter per family, and specify the information for each child on the same letter. Can I do it without using VBA or access?
Simplest option is obviously just to print a single page per child, but can I save some trees here?

Hoping this is clearer than mud...
    Luke

Re: Mail Merge - advanced (xp-2002)

This is a similar process to what I need to do myself at work right now.

My question is, once I've setup this main document, how can I view all of the underlying code, and safely modify the main document (when required).

For instance, after typing in the example provided in the knowledge base, when I attempt to edit the main document, I see the following:

    <pre>{IF = "1" "Dear,</pre>

    .....

It's as if, the nested {fields} are dropped from editing.

    Does this make sense??

Press Alt+F9 to view all field codes (including nested ones), and when you're finished, press Alt+F9 again to turn off field codes. Right click > Toggle Field Codes, or its shortcut Shift+F9 only works locally, while Alt+F9 works throughout the entire document.

Thanks for the help Hans, that was indeed the missing link for trouble-shooting.
