    Word forms when printing clears the fields (word97 sr2b)

    Hiya

    we have word documents protected as forms.
    Users type in data into the form fields.
    The Word setting in Tools>Options tab Print>Printing Options>Update fields is enabled.
    When the users goto to print these forms - the result is the data fields are cleared . & then the users have to retype all their data again.

    Is there are way around this?

    I don't have Word 97 to test with, but I find this hard to believe. Are you sure there isn't a macro unprotecting and reprotecting the document and thereby causing the field values to be lost?

    Update Field will clear a form field.
    There is an option in Word that causes all fields to be updated when you print

    Try Tools > Options > Print and clear the Update Fields check box.

    Hi Stuart:
    I don't have Word 97 to test with either, but if the form is protected, the field shouldn't update. In fact, if the document is protected, even selecting the field & pressing F9 won't erase the field...unless it's unprotected first. I guess we won't know until Diana posts back.

    I've had look into it futher. for our protected forms...

    When the Word Tools>Option Print>Update Fields is turned on.
    when its a protected form - ie click Forms> dont type in a password & click OK, data has been typed into the fields, when the file is printed the result is all the form fields are cleared & all the data is lost.

    when the Word Tools>Option Print>Update Fields is turned off.
    when its a protected form - ie click Forms> dont type in a password & click OK, data has been typed into the fields, when the file is printed the result is all the form fields retain all the data.

    no passwords were placed on the forms so our users can easily get into the forms.

    so when....the Word Tools>Option Print>Update Fields is turned on.
    when its a protected form - ie click Forms> type in a password>confirm password > click OK, & data has been typed into the fields, when the file is printed the result is all the data is retained in fields.

    I suspect that something else is going on here. Has the FilePrint command been changed with a macro? Is there are an add-in? Even with Tools/Options/Print/Update fields being checked, protected forms (with or without passwords) should NOT lose their data when it's printed. I wonder if you can check by looking at the steps in <post#=197827>post 197827</post#>.

    Hey Phil

    We do have custom code behind the FilePrint command - however to test & investigate this issue I've disabled & bypassed our custom print code - so Words native print form is displayed.
    We do have global templates & add-ins.
    I'll apply the suggestions in 'Systematic Approach to Behavioral Problems in Word ' & let you know how I go.
