    Printing Document Revisions (2000)

    Is there any way to print only the revisions (both the old text and the revised text) of a Word document? What I have is an employee handbook that gets revised every year. It is over 100 pages, and it would be nice to have a shorter document that summarizes the changes made for the current revision.

    Hi Brian,

    You could probably hide paragraphs that haven't been changed with "Find/Replace"; something like this...

    Say all your text is left-adjusted.
    In "Edit > Find", with the cursor in "Find what", hit Ctrl+N.
    Find will now find text that was changed.
    Leave "Replace with:" empty, and hit Ctrl+R in that box to right-adjust all paragraphs with changes.

    To keep some context, you might want to print headings, too, so you could use "Find/Replace" to right-adjust them, too.

    Now replace everything that is still left-adjusted with "Format > Font > Hidden" (Ctrl+L in "Find what", Ctrl+Shift+H in "Replace with").

    Left-adjust everything (Ctrl+A, Ctrl+L), and you should only see paragraphs with changes (plus headings, if you've chosen).
    You'd have to set the options in "Tools > Track changes" to display the original text and the changed text (say deletions as "strike through" and additions as "underline" ...), and choose to not print hidden text in "Tools > Options > Print".

    Select everything and uncheck "Format > Font > Hidden", and you should be back to the original state of the document.

    Just noted that "Find" won't find paragraphs with deletions (only those with new text).

    Probably a macro to hide paragraphs without revisions would be better:
    <pre>Sub HideParasWithoutRevisions()
    Dim myPara As Paragraph
    For Each myPara In ActiveDocument.Paragraphs
    If myPara.Range.Revisions.Count = 0 Then
    myPara.Range.Font.Hidden = True
    End If
    Next myPara
    End Sub</pre>

    You could still "unhide" headings afterwards, using "Find/Replace".
