Message Rules (Outlook 2000 SP-3 (9.0.0.6627))

I just recently set up message rules to sort the mail as it comes into my inbox. I have several sub-folders of the Inbox itself. When I click on Rules Wizard, a dialog shows the various rules and they each have a checkmark to the left side. It was my assumption that each incoming email would be tested against each rule in the order they are listed and as soon as a certain rule applied, the email would follow the instructions of that rule.

Problem is: I have messages that are being routed to two different sub-folders. It's following the instructions of Rule 4 and Rule 6 in my list. I want it to just use the first rule that applies, not both!

Specifically...

Rule 4 states:
Apply this rule after the message arrives
with Food Safety in the subject
move it to the Food Safety folder

Rule 6 states:
Apply this rule after the message arrives
with audit in the subject
move it to the Legal folder

The email that always gets sent to both folders has the following subject line: Food Safety Audit Summary
I need for this email to get dumped into the Food Safety folder and that's it. Other "audits" would go to the Legal folder.

Sorry for the length of the post - just trying to give thorough explanation. Any help appreciated.

I got caught by the same assumption. And it is correct, to a degree. Incoming email is processed against the rules in the order that they appear, but, and this is the "gotcha!", it seems that each email is processed against all the rules.

But, there is a cure. Just add "stop processing more rules" to the actions in "What do you want to do with the message?". It stops processing rules for that item. That is, the next incoming email is processed normally, starting again with the first rule in the list. (The "stop" action is at the bottom of the list of available options.)

This also gives the opportunity to intentionally process some email by multiple rules, if needed.

Thanks Tim.

That little feature was tucked away like an Easter egg. Found it and I have added it to each of my rules.
