    Template questions, beginner (Word 97)

    Hi,
    Trying out the "Professional Report" template in Word97, some problems have come up:
    1. Sporadically, the style dropdown box on the format toolbar is excruciatingly slow. When I click to open the box, I sometimes wait over a minute. Then it's fine for several tries, and then it slows to molasses again. How to fix?

    2. With about 70 styles in the template, it's hard to find what I'm looking for. Is there any way I could sort the styles -- manually or automatically.

    3. There seem to be some duplicate styles with different names, and the style name display at the left of the screen gets these confused. Is that normal?

    4. When I use the shift-F1 style display, a couple of the styles show (on the Font formatting pane) both Paragraph-style and Character-style info. I thought a style could only be one of these. Is there something wrong here, or do I just not understand?

    5. I haven't yet seen many template components such as macros, VBA stuff, custom menus, tool bars, etc. Am I correct that these things are not visible except through such tools as the Organizer?

    I don't have this template installed on my Word 2002, so I'll try to help but can't be too specific.

    I believe styles always sort alphabetically. In the dialog, you can tell Word to show you only what it considers to be "in use." This might not help in the drop-down.

    I don't have much experience with the "style area" or "style bar" or whatever that is called. I typically just look at the toolbar. Since it is such a small area, it wouldn't surprise me if the parts of the style names that are different got cut off.

    Two different styles, one parapgraph and one character, might be applied. Does the "What's this" help actually give you the names?

    A new toolbar would be obvious (either visible or listed on the View>Toolbars or Tools>Customize>Toolbars lists). Menu changes could be more subtle. For macros, try Alt+F8 and change the drop-down "look in" box to the name of the template. Any macros you are intended to be able to run will be listed here. There might be more code, you could open the editor (Alt+F11) and poke around.

    With my limited experience of MS supplied templates, my feeling is that these are a terrible demonstration of what a template can be used for. The ones I have seen generally bring in boilerplate content but aren't constructed very well in terms of style use and macros/toolbars etc. One notable exception is the MacrosX.dot series of templates which have some good macro samples included.

    The intermittent speed issue may be related to some background activity in a largish file such as Spell checking, grammar checking, repagination and/or autosaves. It is unlikely to be directly related to the style dropdown list at all.

    Starting with Word 97, MS stuffed up the style sorting of the dropdown list. It is sorted alphabetically multiple times due to the first sort key being something like Styles in use/Styles built in / Styles user defined. The second sort key is the alphabetical listing. This makes the style dropdown a real nasty piece of work for documents with lots of styles. The only way to see all the styles in a style name sorted list is to use the dialog displayed when choosing Format > Style

    The confusion with the styles displayed in the styles area is likely to be that the styles area shows you the Paragraph Styles but these may have been overridden by Character Styles. You can remove any character styles from a selection by pressing Ctrl-Q and Ctrl-Space. This should resolve the confusion in the styles area.

    The only thing I know is that I get this problem only with this particular template. I assume I can track it down by deleting a few things at a time. Where should I start: styles, text, or what?

    The most objectionable part of the whole deal is the slow response of the style drop-down.
    Have you any suggestions for that?

    I vaguely recall that this occurs with a particular option to show the styles in their actual font style. It seems to me that you can uncheck the option to "display fonts in the style" or something similar. Again, you may find this if you click a blank spot on a toolbar, choose Cutsomize, & then options.

    I just checked Woody's Word 97 Annoyances, p. 86 & don't see an option described. But he does mention the annoyance of waiting. I quote: "...the delay progresses from infernally irritating to utterly unacceptable." His suggestion is to go to Tools/Customize. Make sure the Save in box says "normal.dot", scroll the commands list to Format, then scroll way down to "Style...". Drag that button to the Formatting toolbar & use it in place of the drop down list.

    Phil,
    Amazing and strange.
    Putting a couple of styles on the toolbar solved the problem, at least for the moment. What I mean is that the drop-down box now behaves!
    Maybe drop-downs are afraid of toolbars. (And paper covers stone!)
    You have my gratitude. I also want to thank you for giving me the push I needed to try the put-things-on-a-toolbar-procedure.
    Which did however bring up 2 questions. With Word adding "style" to each item I put on the toolbar, things get crowded fast.
    Do you by any chance "vaguely recall"
    1)how to edit the button names; 2)how to put divider lines between buttons?

    Hi Al:
    You're quite welcome. I think that Word has to load each font definition when you use the drop down box. Maybe after the first time, it has the definitions loaded & it's faster after that. Putting some styles on the toolbar may force that behavior earlier. This is just a guess, though.

    To edit the toolbar name, just bring up Tools/Customize... & then right click on the button that you want to change.

    To put a separator in between buttons, bring up Tools/Customize... & then either drag the button slightly to the side or use the menu option "Begin a group". You can get rid of a separator by dragging the button that's slightly to it's right over to the left.
