    Cleansing comments

    Kia ora

    I am trying to cleanse a WORD 97 document of all comments before 'publishing' it. Delete comment certainly removes the comment reference in the document body but the highlighting remains as do all the comment text entries. As with footnotes, I cannot delete comments in their pane and WORD's help is singularly uninformative on that topic.

    I thought perhaps that comments needed to be deleted by the originator but surely there is a method of cleansing all comments from a document regardless of who originated them?

    In Word2000, if I right-click a comment reference in the body and choose delete, the reference, comment, and highlighting are removed. Does it not work that way in Word97?

    I also can Replace comment mark (^a) with nothing and this kills them.

    I don't have anyone else's comments in my test document, but unless the document is protected, I would think you could remove anything you want.

    Yes, right clicking does offer 'delete comment' and it does remove the reference. However, it does not remove the highlighting nor the comment.

    Yes, I also searched and replaced the comment mark (^a) and that certainly got rid of remaining reference marks but failed to remove highlights and the comment text entries.

    It is not protected as far as I can tell (I don't know how to protect a WORD dcuemnt except by making it read-only which it is not).

    So the mystery remains. I have just found that one of the comment text entries that will not depart is listed as my own one so the problem might not apply to just other commenters' entries.

    Hi Ken:

    Deleting the reference mark should delete everything. Do you have track changes on? Go to Tools/TrackChanges & accept all changes & then turn it off.

    Yes, track changes was left but curiously not the option to show changes on screen. Therefore I had no indication of the situation. What a relief. Thanks Phil. <img src=/S/cheers.gif border=0 alt=cheers width=30 height=16>

    Ans a bonus. I was also having trouble in this document with style formatting and outline numbering changes being done (or not) capriciously. All resolved. Thanks again.

    Ken somewaht off subject but we don't see many people from the land of Oz starting a message with Kia Ora!!     Hi Charles:

    Thanks for reminding me. Since Ken's problem was actually twofold. He wanted to get rid of metadata & had trouble deleting comments. I only addressed the second problem.

    http://www.payneconsulting.com has a free toolbar to download for cleansing a document of metadata. It works well.
