    Large mailings (Outlook XP SP2)

    I tried to send an email to over 500 names in my contact list in order to notify them of a change of my email address. Outlook returned a message that I exceed the limit of 50 names in anyone email. Is there away to override this. (I did get a pop up window that said I exceeded the 50 name limit, and did I want to send anyway. I clicked yes but then received a System Administrator message saying "Your message did not reach some or all of the intended recipients".

    If you copy down the exact error message and search it at http://support.microsoft.com/default.aspx?...h;EN-US;KBHOWTO (change Using to "The exact phrase entered") perhaps there is a workaround. Bear in mind that if the System Administrator message is from an Exchange Server, the setting might not be on the desktop at all.

    Look in Outlook Help for Mail Merge. You select the Contacts, and then merge to E-Mail. I understand that it sends the same e-mail to all selected Contacts, but now I'm telling you more than I know. <img src=/S/grin.gif border=0 alt=grin width=15 height=15>

    I am not using Exchange Server. I searched on "550 Too many recipients" and "undeliverable email" and came up with nothing.

    Won't this still create 500 messages, 450 over the apparent Outlook limit? I think I did essentially the same thing. I created a distribution list in my address book made up of the 500 names I wanted to mail to, and sent a message to that list of 500. A warning popped up saying 50 names were the limit and asked me if I wanted to continue. I clicked on Yes (I think). Then I got the message from System Administrator in my In box saying Your message did not reach... and listing a long string of contact name with "550 Too Many recipients" after each name.

    Jim, yes it will, but before you were attempting to create one e-mail to 500 recipients. The difference is that the mail merge message will send a separate e-mail to each contact, which is quite different from adding more recipients than Outlook can handle to one message. Unless you mail server (ISP) has some kind of limitation, it should work. See <!mskb=192258>Microsoft Knowledge Base Article 192258<!/mskb>. Try it, can the result be any worse than before?

    The catch here is defining the View. In Contacts I have over 1,200 records. Some do not have email addresses and some are old. My plan was to send an email only to my 9 different distribution lists, which contain 3 to 15 names each, and then to another 300 to 400 that are not in the distribution lists but to whom I still correspond by email occasionally. I have changed my email address and would like to notify this select group of my contacts. I have started sending in clusters of less than 50, but this seems like an award exercise. There must be a way to override Outlook's limitation on 50 messages at a time. I know this was designed to stop viruses and worms that capture your contact list, but spam has forced me to change my emai address.

    Jim, 1,200 contacts, you make me feel like a hermit!

    There's no easy way I can think of* to help you determine who to send to and who not, but here's an idea; create a View that shows who has e-mail addresses.

    Open your Contacts folder and select View, Current View, Define Views, New, Name it "E-Mail" or some such, OK, then click Fields, from the Fields dialog, Remove stuff that isn't relevant, like the Phone Numbers, and in the "Select Available Fields From" drop-down, Select E-Mail Fields, then Add E-Mail, E-Mail 2, and E-Mail 3, OK, click Apply. (My instructions may not be rote here, but so long as you follow). Then, click on the "E-Mail" Title bar to sort for all who have an e-mail address, and select them, and run the Merge. Repeat for E-Mail 2, and E-Mail 3.

    * which only means I can't think of it, maybe another Lounger has better ideas. In particular I looked for but didn't see a way to merge with Distribution Lists.

    The 550 error is from the SMTP server itself, not from Outlook. I think we don't really know what your SMTP server's actual limit is. (Unless Outlook has done a secret handshake with the server and is giving you an accurage number in the warning.)

    You are correct. I checked with my ISP/Web hosting company (Verio) and they told me there is a 100 recipient limit, and this is standard Internet policy. I wish it was so we could eliminate spam. I believe there is also a 50 recipient limit imposed by Outlook but Outlook gives you the option to override this, which I did, and then my ISP kicked in after 100 messages had been sent.

    It might be _their_ policy, but it's hardly a "standard internet policy". If it was, there wouldn't be a SPAM problem in the first place.

    Any limit in outlook would be based on total size of the address list - with possibly a 256kb or character limit.

    As for the 'internet standard' - it's more of a smtp server standard and it really has nothing to do with spam, since spammers run their own smtp servers (and can change the 100 limit) and do more of a mail merge than a mass mailing.

    A mail merge would work great for this, although it would tie up outlook for a long time as 500 messages were sent.
