    Print Preview-Gray (XP)

    Hi All,

    I've been using Office XP on my newly-purchased laptop since the spring. It wasn't until the summer that I even loaded a printer on this laptop to be able to view documents in Print Preview mode. And it was just yesterday that I tried Print Preview (PP) in PowerPoint, although that was not the main purpose of the experiment.

    I created a trivial slide with a few shapes with different colors and a color picture. I went into PP mode and the preview was in color. Then I went to the Print menu and changed Color/Grayscale drop down in the lower left from color to grayscale. Nice grayscale. Now I changed it to BW. PP was fine. Now I changed back to color. No go. The PP was in grayscale. Even closing and reopening ppt didn't change anything. Didn't see any option governing this.

    The only thing I can think of is that the printer loaded is an HP LaserJet (BW). On this laptop, there are no other printers. I tried loading the generic printer driver but didn't have the Win CD with me so no go.

    Is there something that governs the color/grayscale of the PP mode? Is this the selected printer? If I load a color printer and select that for my preview, will my preview be in color (assuming I select that) and will I be able to go back and forth between color/grayscale/BW in PP mode? Or is there something else at work here? I don't recall this type of behavior in previous versions of ppt.

    Print Preview is based on the "Default" printer. So if it is a HP Laser jet which is black and white, the preview will be in gray scale. Same for the "Generic" printer, as it is based on the older text only line printers.
    To view in color you are going to need to install a color printer driver and declare it as the default. You are going to find this same issue with ALL programs that have Print Preview. You should be able to find many color printers listed on the Windows setup disk.

    Hi Dave,

    Thanks for the answer. As I suspected. But one quick question - do I have to have the color printer as the default or can I just select the color printer when I go into print preview?

    I guess I hardly ever go into print preview in the other programs so would not have noticed. Then again, I was just fooling around in power point for something else I'm working on so wouldn't have normally noticed it here either.

    When using MS Word, I do not have a color prenter sent as default and the color appear in Print Preview.

    When in Power Point I had to have the color printer set as default., I see no area to select a different printer.

    Now running HP Pavilion a6528p, with Win7 64 Bit OS.

    Dave,

    If you go to the print dialog (either from the File menu while in ppt or from the print button while in preview), you can select the printer from the usual drop down near the top of the dialog. In the lower left of the dialog is the preview button. I'd assume you could select the printer from the drop down and click preview, altho I can't test this.

    Do you have any theories as to why the first time in that I was able to print-preview in color?

    You may have had a color print driver installed and later removed it <img src=/S/shrug.gif border=0 alt=shrug width=39 height=15>

    nope, never. Per original post, I didn't even install the HP LJ driver until a few months after I got this laptop and only bcs I couldn't see anything in preview mode. That's the only driver I installed on here.

    Oh well, another one of those MS mysteries.
