    How to remove duplicate contacts (2000 SR-1)

    I regularly synch Outlook with my Palm Zire 71. I just noticed that my Outlook Contact list has doubled to 5600 entries (yes, the PDA also has twice as many entries as it should have but that is a different issue - I can easily fix that by resetting it, wiping out all entries and then synching with the PC once that has been de-duped). Any suggestions on how to automate removal of the duplicates from Outlook? (As an aside, only the Contacts duplicated. The Outlook Calendar entries look ok.) Thanks.

    Outlook '02+ has Duplicate Contact Tools, but alas, not 2000. You might try a tabular View, such as View | Phone List, sort by Name, and do the manual work from there, or look at Slipstick Duplicate Contact Management Tools.

    Thanks for the suggestion - I tried the program but didn't like it. 1-It operated on my "live' file. I would have preferred an option to process the backup file instead. (call me parinoid) 2-It didn't work. I got the following message: "Run time error "xxxxxxx". Method "~" of object "~" failed. 3058/3063 found 2447"

    Any other ideas? Right now I am doing the 1-at-a-time method (every time I do a lookup, I delete any duplicates showing on the screen. It spreads out the work effort but with over 2,000 duplicated entries, it might take a while!)

    The solution options depend on how these puppies got into the hen house. For example, if they all came in at once - like an import, or PDA synch session - then the solution is pretty easy. The 2nd set will all have the same modified date. So you can make a view that sorts and groups on modified data. All the duplicate items will be grouped together. Just select them and delete them.

    Do you know how they got there?

    I have seen this before with messed up Palm Syncs; my wife did it once, I have no idea how. I cleaned it up the tedious way.

    Good idea on modified date. Permit me to expand on your idea for the benefit of the original poster. As OldDog suggests, select a tabular View of Contacts, I'd use "Phone List" view. Then right click on the table headers, select "Field Chooser, from the Field Chooser dialog drag "Modified" to the table headers. Sort on "Modified", select, delete.

    The suggestion makes intuitive sense BUT here's what I see . . . A contact with 2 entries-BOTH with the SAME modified date+time: 10/23/2003 2:15pm . . . A contact with 10 entries-ALL on 10/23/2003 with times ranging from 2:12pm to 10/23/2003 2:15pm.

    H-m-m-m 10/23 is TODAY and 2:15 is ABOUT the time I added the "modified" column to the Phone List. The last time I actually synch'd to the Palm, was this morning at about 10:30 am. Both of these contacts are old, stagnent contacts that I haven't touched in many months! So what's up with the "modified" field?

    FYI, there are only about 20 (out of 5,000) contacts with 10/23 as the modified date. Then there are a bunch at 10/16 and lots on 10/15! (Spot checking looks like 10/15 was the day the dupes were created). So, do I add a FILTER "modified=10/23/2003" and then delete all the recs? That might work.

I would examine the 10/15 and the 10/23 records very carefully to ensure that you don't delete good records, before doing any bulk deletes. A lazier way (such as I might use) would be to create another Contacts folder our of sight of Palm Sync, and move all the dups to it. That way if you can recover the Contact for your rich Uncle Fred if it's unduplicated.

    Sometimes there is no answer that avoids tedium.

    I also have the duplicates problem with 02 - caou remove duplicatesin 02 - I have not been able to find it in help. Also I looked at your link to the free download for removing duplicates - have you used it - is it safe? Thanks.

    I don't have access to Outlook '02 at this time but I was sure that there are duplicate Contact management tools in '02. Can another Lounger assist, or, Doris, could you open your Contacts folder and look around in the Menus? (Menus are context specific, Contacts-related tools won't appear if you have not activated your Contacts folder.)

    I have not tried any of those tools; but Sipstick does not usually post links to bad software.

    John- I checked for duplicate contacts removal - and have only found a setting for "Check for duplicate contacts'- but nothing for removal.

    My memory must be going. <img src=/S/smile.gif border=0 alt=smile width=15 height=15> I won't have access to XP until this evening (or tomorrow, since I have an event to attend), so perhaps another Lounger can help you, or you can try one of the tools from Slipstick. If you try those tools, create a duplicate Contacs folder, copy all your contacts there, and test the duplicate management tools from Slipstick against that Folder.
