    Address list won't show everyone (Word 2002 SP-2)

    When I click on Insert Address in Tools / Envelopes & Labels to address an envelope, it only shows contacts with e-mail addresses - none of my other contact addresses are shown. Even if I type in an address it is not there when I use Envelopes & Labels again. Very frustrating! Any ideas what is wrong?

    I think a "Email" address is required.

    Now running HP Pavilion a6528p, with Win7 64 Bit OS.

    Do you use Outlook as your mail/contacts program? If so, Word usually will mimic what Outlook considers to be your Address Book. If you open the Address Book in Outlook, do you have a bigger set of addresses?

    This could have something to do with Outlook's address book which doesn't show people that it can't contact directly. This means outlook wants to see an email address OR a fax number otherwise it won't list that person as sendable. There is an old kb article that may apply to this problem here kb161349

    Yes, I use Outlook for my email/contacts and when I open Address Book in Outlook it shows a complete list of all contacts - whether or not they have an email address. When I open Address Book in Word, it only shows a list of contacts with email or fax - and since I want to address an envelope for snail mail this is no help at all.

    I read KB article & it seems to be about contact lists in Outlook only - everything it said to do or check for is already set up OK on my PC.

I only link my PAB to the Address Book, not my Contacts folder. When you open the dialog in Word, is your Contacts folder selected in the drop list at the upper right? The default list is set in Outlook, so again, they should be consistent, but just in case.

    In Word's Tools / Envelopes & Labels, my drop-down list in upper right has 2 options:
    "Outlook Address Book" which says "No entries in this Address Book"
    and "Contacts" which gives me a listing of only my contacts that have an email or fax.
    Most of my Outlook Contacts do not have an email address & these are the ones I need to access to address an envelope in Word.

    In order to see thses address's you MUST add a email address.

    You can add a "Junk@noaddress.com" (or what ever you want to use) and then these names will appear. Then when you get real a REAL address you can change it.

    OK it worked - I added a fake email address to one account & it showed up in Word.
    A couple of thoughts: 1. WHY!!! (I know, we're talking about MS)
    2. I have a lot of contacts without email addresses - is there a quick way to add this fake address to all of them?
    3. While I'm looking at contact addresses - is there a Global command to eliminate "United States of America" from their address?
    (which is put there by default)

    You could create a custom Table view that just shows name and email address on one line, sort by email address to get all the empty ones to the top, click on the empty space where the email address should be and paste from the clipboard for each one. Shouldn't take too long unless we are talking about thousands of contacts.
