    Need Outlook 2003 addon: sort emails in special folders?

    Hi!

    At first I am working with Outlook 2003 and an Exchange 2003 Server.
    The Exchange server has a 32 K rule limitation for every user.
    For this reason I need an Outlook 2003 addon to sort all incoming mails in special folders.
    Is something like this anywhere available?

    Have you tried the Rules Wizard in the Tools menu?

    BTW, 32 KB is extremely low!

    Yes I try already the Rules Wizard in the Tools menu!

    I know that 32 K is TOO LOW. You should tell this the Outlook devision of Microsoft [img]/forums/images/smilies/wink.gif[/img]

    Can you tell us why rules won't do what you want? They can be used to move incoming e-mails to specific folders based on keywords in the subject, or on the sender. The target folder can be in your Personal Folders.

    I don't understand - the limit is something that is set by the Exchange administrator, not by Microsoft.

    The rule limitation can't be set be the Exchange administrator.

    Gicio, that limit is definitely a Server Administrator setting (or possibly an ISP setting if your application is standalone), not a Microsoft limit. Find out who your Exchange Server Administrator is and talk to them. For tips on minimizing server side storage see <!post=this,308285>this<!/post> thread.

    You have 32Kb of Rules? How did you get to 32Kb of Rules? How many rules do you have and how many do you need? I have three rules, total rule space maybe 2 kb?

    We thought you were talking about server-side Mailbox space.

    I need over 150 rules.
    And yes I am talking about server-side Mailbox space.

    OK aside from the 32KB rule limitation, why can't you use VBA to sort the messages into specific folders?

    I am new to Outlook VBA but I have done some work managing my Inbox and sorting messages all over the place, I can send you a sample code, if you would tell me what sort of message attributes do you look for and what happens when you find them.

    Not exactly; we are talking about Server-side Rule space, which is different from Server-side Mailbox space, and as you complained, is constrained to 32Kb. I agree with Wassim to emulate 150 Rules, VBA is probably the way to go, but to emulate 150 rules will take some coding. (Better learn the Select Case statement.)

    It's a VBA statement that lets you do something like this pseudocode:

    Select Case MailItem.Sendername
    Case "Bob"
    MailItem.Move DestFldr:="BobFolder"
    Case "Carol"
    MailItem.Move DestFldr:="CarolFolder"
    Case "Ted"
    MailItem.Move DestFldr:="TedFolder"

    Using VBA = client side rules. Instead of going to the bother of learning VBA and messing with editing rules in the VBA editor, you can get a client side rules addin. I use Exlife from http://www.ornic.com and he has a new one called Inbox rules, but there might be others. Look at http://www.slipstick.com.

    Short of condensing the rules to make them more efficient, there isn't anthing else you can do if you use Outlook 2002/2003. Top number of rules is 32 kb, or about 30-40 rules depending on how they were written. You might be able to squeeze another rule or two in if you clean up other rules.

    if you use OL2000, you can force some rules client side to increase your count, leaving your 40 or so most important rules server side. This won't work for OL2002/2003 as all rules used for Exchange accounts are server side.
