    Printing Form (2000)

    Greetings!

    I've created a form in Word. On the screen, I can see the grey shaded areas where info is to be entered - before anything has been filled in. How can I print a copy of the document showing the shading like it is on the screen during print preview?

    I think you'd have to go to the trouble of shading them manually, unless there's a trick I don't see...

    I tried to change the options from the Print screen, but nothing like I wanted was available. Thanks for the reply.

    You can use this macro to do it in one fell swoop:

    Sub ShadeFormFields()
    Dim ff As FormField
    Dim pt As WdProtectionType
    pt = ActiveDocument.ProtectionType
    If pt = wdAllowOnlyFormFields Then
    ActiveDocument.Unprotect
    End If
    For Each ff In ActiveDocument.FormFields
    ff.Range.Shading.BackgroundPatternColor = wdColorYellow
    Next ff
    If pt = wdAllowOnlyFormFields Then
    ActiveDocument.Protect Type:=wdAllowOnlyFormFields, NoReset:=True
    End If
    Set ff = Nothing
    End Sub

    Hi Janie:
    Here's an alternative to using a macro, provided that all the fields in the form are formfields (no other fields such as a date field).

    The first 3 steps are optional. If there's nothing in the fields or if you've previously changed your Word commands so that reprotecting a form doesn't reset the fields, you can disregard them.

    1. Unprotect the form.
    2. Press Ctrl+A to select everything.
    3. Press Ctrl+F11 to lock the fields. This will prevent resetting the fields when you reprotect.

    4. Unselect everything. Make sure your highlight is set to a color you want.
    5. Press Ctrl+H to bring up Find/Replace.
    6. Find: ^d
    Replace: use Format/Highlight.

    All your fields should now be highlighted & this will print.
