Extra tabs in TOC? (Word XP)

Howdy folks,

It feels like I've been dealing with this problem for years in all the versions of Word. This time it's XP (just switched from 97), and it's got me stumped.

I'm building a List of Appendices using the TOC field. The field looks for a style called "Caption" in my document. When the field creates the TOC, it's adding an extra tab (at 1.45 inches) to the TOC 1 style. (See the attached file). I've tried a bunch of diffferent things to get rid of it, but every method I've used to either remove it or change it has had some un-intended consequence, like screwing up my tab leaders, or screwing up the TOC 1 for my other TOC in the document (not shown in the attached file).

Where's that tab coming from anyway? What's the best way to deal with it?

Thanks in advance for your help!

Hi Beej:
I'm not sure why the tab is being placed where it is. The tab itself is part of the title of the caption, so that's why there is a tab. If found that if I defined the TOC 1 style to have a tab at the 1" mark, the tab will indent to there. However, the 1.45" tab mark still exists. See attached.

Re: Extra tabs in TOC? (Word XP)

Phil,

Thanks as always for the help & quick response.

I don't see the tab in the title of the caption (am I missing something?). If I click inside any of the captions, I don't see the tab (or the tab setting).

Still, in the attachment you sent, you can see my tab leaders aren't behaving the way I'd like. I'm trying to get right-aligned page numbers with "dot" leaders, and the tabs (either the 1.45" or the 1") are really messing with the right-aligned dot leader tab.

On a hunch, I tried using the "Reveal Formatting" pane in XP, and checked "Distinguish Source". When I have my cursor in the TOC that I'd created (in the original attachment), it says the 1.45 tab is from "Direct Formatting." To me, that implies I did it...which I certainly didn't.

I hope I haven't made the situation muddier. To sum up...how do I get my page numbers right-aligned at the right margin and with a dot leader, for all the entries?

Thanks again,

Beej

Just curious....does the attachment look like what you want?

Re: Extra tabs in TOC? (Word XP)

Yes! Exactly.

And while I was looking at my original attachment, I saw what Phil meant by the tab being "part of the title of the caption". I found that if I changed the tab after "Appendix #" to a space, then removed the tab at 1.45" in TOC 1, I got essentially the same effect as what you did here, dchessey.

Thanks so much...I think I'll use your TOC 1 style for my document as well. How did you figure it out???

Re: Extra tabs in TOC? (Word XP)

...but the new TOC 1 didn't work as well in the larger document.

The 1.13" hanging indent conflicted with the other TOC I have in the larger document (which I omitted from my original post because it was too big; I've now cut it down to size and attached it here). When an entry in the TOC is short (as is the case with "Summary"), it doesn't reach the 1.13" hanging indent, so the page number doesn't go to the right margin. (Try it in the attached file).

I think I'll have to go with the other solution--change the tab after "Appendix #" to a space--unless someone here has a better idea.

Sigh. I'm almost ready to give up.

Thanks again for everyone's help!

Hi Beej:
Sorry, but I was offline for awhile. The reason that your TOC doesn't go to the right margin is that you have a right indent specified in the definition of TOC 1. I've adjusted the right margin definitions for TOC levels 1-4. See attached. However, I may not have the tab the way you want it.

Here's my suggestion (which others may disagree with)...since I didn't realize that you had another TOC in the document.

I would select the Appendix table, right click and choose Toggle Field codes. I would then modify the field code and change level 1 to say level 6 (a level that you KNOW that you won't be using in the first TOC or any other you're going to have in the document). Then, modify the style TOC6 (or whatever leveled style you chose) to match your desired formatting. I've seen this method (as opposed to building TOC's from different tables) used in many legal documents.

Just my two cents worth......and I've reattached a sample of your document with this done in it.
