    Email Merge Letters (Word 2002 XP)

    Hello Everyone:

    Can anyone advise me on how I can take a file document, that I have turned into a merge document, and send the letters to all 10 individuals via email.

    I do know that I can send merge e-mails to different people, but I tend to get lost because I still only have that one merged file.

    I think Word is set up for you to do one or the other: generate a document for printing, or generate individual e-mails for sending. To go from a single document to 10 different messages sounds like a copy and paste project (or a macro that would take longer to write than copying and pasting). But I don't do very much merging, so don't take my word for it. Also, I might have missed your point. <img src=/S/grin.gif border=0 alt=grin width=15 height=15>

    When you have your main document (letter) & use the mail merge wizard (Tools/Mail Merge...), after you have attached the datasource & put merge fields in your main document, you will come to the 3rd step (which is to merge). There should be a drop down box where you can choose various options like merge to printer, merge to new document, etc. One of the options is to merge to electronic mail. Since I don't use Outlook & don't have Word 2002, I've never done this, so I don't know if it sends the main document by itself or as an attachment, but it should send the document.

    What Phil suggests is indeed the process - we have used this successfully to send out as many as 30,000 individually customized email messages. In some cases it was sent as a unique attachment to a stock email message, in others we sent the document as an email, and in one case we uncluded a unique hyperlink in each message so that the addressee could go to a unique web page for that person. The only challenge when sending such large numbers is how to manage the sent-email messages. Try it - I think you'll like it.

    Thanks for your input and support, I did find the toggle that allows me to e-mail the document, I have one question; Should I be choosing "merge to e-mail" before I click on "Insert Merge Fields?"

    I did a test to my own email, and I noticed that both letters which are address to separate individuals both came in the same e-mail which sent to myself.

    No, you don't need to choose the merge to email before inserting the fields. But you do need to have the field name for the email address available to you, and to specify it when you select the merge to email option. You should also get an option to set the Subject line, and whether you want to send the document as an attachment or as the body of the email.

    I have mastered the email merge method, but I don't like the fact the email properties (eg) instruction(s) sit on top of the actual document. I would like to be able to utilize the email merge as if I was sending the document as an attachment instead of the attachment already being opened up for the individual that I am sending the document to. I would like to use the merge as if I was already in outlook, I would like to have the doc already closed not open, I hope that I have made myself clear, sorry if I haven't.

    Also when I sent a test run to myself, the document was so wide, that I couldn't even see the far left of the document, could you explain the reason for this?

    Hi Dillon,
    I hadn't tried the email merge with Word 2002, and guess what - it's different, and doesn't allow you to send a merged document as an attachment, at least as near as I can figure out. So I dug out this post from the archives that KB MacKenzie came up with in January, and tested it:
    <hr>After working with a couple of XP's task panes, I was uncomfortable so I went digging. Undocumented at MS, but still available to add to menus and toolbars are many of the old familiar dialogs. These were my choices:


    Mail merge Helper; and

    Styles

    You can customize your menus and toolbars by going to View / Toolbars / Customize and change to the Commands tab. In the left window select All Commands and in the right find MailmergeHelper and drag it to the tools menu and drop it where you want; then locate styles and drag and drop it onto the Format menu. You can add to existing toolbars if you so choose -- but I'm a member of that dieing breed of keyboarders so prefer using menus.

    I like XP's task panes, in general -- but for some things I do prefer the old ways .

    This lets you use the old MailMerge Helper, and when you get to step 3 in the process, you can click the setup button, and one of the options is to send the merged document as an attachment. I knew we had done that frequently, but the client where it was common had not upgraded to 2002. Hopefully this makes some sense to you - if not, please post back.

    As to your document being wide, that's a result of it being sent as an HTML message in all probability - although I use Word as my email editor some, and it also fills up the entire window on a new message. Anyhow, take a stab at the approach above and see if that suits you better.
