    Multiple Accounts & Folders (2003)

    Hi.

I've got two POP accounts that I use (home business and a client email account) which I have then had to replicate again in order to use the different SMTP addresses depending on where I'm connected. So:

    Business via HomeNet
    Client via HomeNet
    Business via ClientNet
    Client via ClientNet

In a vain attempt to apply some logic to this, I now have send & receive groups so that the HomeNet ones are sent/received when offline, and the ClientNet ones when Online. However, all the emails get delivered to the one folder.

Q1 - Can I set OL to send the different mail to different folders / personal files?

Just now I'm using rules to send the mail, but I've got two rules for each (send = move to appropriate PST send folder, receive = move to appropriate PST receive folder), so that makes eight rules just to file the normal mail, let alone anyting else that I may want to do. Outlook seems to suggest that I can send mail to different folders (cf Send Receive Groups Folder Options, or also cf copying a rule) but there is only ever one folder listed here. Help?

    Anyone got any better suggestions?

    Thanks.

    Stuart

I assume you want 2 folders (Client and Home Business) and not 4 (2 for each method of connecting). Can you add the criterion for the "account" to your rule to get the rule to sort correctly? I think then you'd only need 2 rules for receive and 2 rules for send, but maybe I'm missing something critical here.

Re: Multiple Accounts & Folders (2003)

Actually, I only have two PST files for the email, with the third default one that Outlook gave me which does all the downloading etc.

    So:

Personal Folders -> Inbox & Sent Items folders
Home Business -> Inbox & Sent Items folders
Client Business -> Inbox & Sent Items folders

But I can only specify one single place for email to be downloaded to, so I download it to the Personal Folders Inbox, and use Rules to move the Home Business email to the Home Business Inbox and the Client Business Email to the Client Business Inbox. Unfortunately, that then leaves all the Sent Items from whichever account sitting in the Personal Folders Sent Items box, and so I have another pair of rules to move these to the relevant Sent Items folders. Four rules.

Finally, I connect using two different ISPs - either through the Client provider when I am working in the Client offices, or by my own provider here at Home. While I can of course download with any provider as the POP address is the same, none of them permit relaying and so I have to have two versions of eaach account with different SMTP addresses depending on where I am sending from. Thus I get two PST files, four folders in total (Sent & Inbox in each), but I then have to have eight rules to cover all the sending and receiving from all the accounts.

    I can't help thinking there must be a better way! <img src=/S/brickwall.gif border=0 alt=brickwall width=25 height=15>

I was drawn, therefore, to the section of the Send/Receive Groups settings which says (something like) "deliver this account to this folder".Unfortunately, all it ever shows me is "Personal Folders -> Inbox" no matter what other folders I have either within the Personal Folders file (on their own or sub-folders on Inbox) or in any other file. Urk!

    Help! <img src=/S/please.gif border=0 alt=please width=31 height=23>

Okay, I see what you mean. I was thinking that you would log in under a different profile when changing from Home to Client connection, with the account just having the name of the POP source. If you have 4 accounts, as that term is understood by Outlook, you really do need all those rules. And why not? If it ain't broken...

    Well I agree up to a point - it's not very elegant, is it? <img src=/S/disappointed.gif border=0 alt=disappointed width=15 height=15>

So tell me, what is the point of the "Folder Options" in Send/Receive Group settings. As I said before, it only ever gives me the option of Personal Folders | Inbox.

I've never used that dialog before, but I see what you mean. Perhaps this is a feature that only comes to life with an Exchange server?

The thought had occurred to me, but Microsoft help / support is stunningly silent on the topic, except to say that all the options may vary depending on information service type. Thanks anyway.
