    Sent Items alternative folder

    Outlook2000 on Exchange Server 5.5. Inbox/Sent Items etc. saved on Server, with strict limited space; user filing saved on *.pst on each PC.

    Problem: When composing a message using the Options button one can change for specific messages the folder to which the sent message will be filed. This works for folders on the server, but when trying to direct this option to the *.pst the following message appears: "The folder you have selected is not a subfolder of the default store. To select a different folder click ok".

    Is there a way to get this very useful option to work on a *.pst which is different than the default Outlook mailbox?

    the best way is to increase server space. <img src=/S/smile.gif border=0 alt=smile width=15 height=15> it makes it easier to back up the files and takes less space than a pst. (messages in pst are somewhat larger than the same message stored in an exchange mailbox). The messages are also accessible from anywhere, just like the mailbox is.

    if you insist on using psts, you'll need to use rules to move the sent items to the pst. <A target="_blank" HREF=http://www.ornic.com>Exlife</A> works well also.

    if it's corporate policy to restrict mailbox size and force everyone to use psts, it's shortsighted and penny-wise but pound foolish. The policy needs changed to allow larger mailboxes and filtering to restrict attachment size, especially for frivilous things from friends and family.

    Thank you for your response. I will definitely quote you, as we are trying to change existing policy.

    Just as a point of interest, the restriction on the server is not so much "penny wise" as an overall policy that people are not being monitored. This has to do not only with their mail but with all their files. Changing this requires a change in corporate policy, and our computer division was unsuccessful in the number of times it had initiated making such a change.

    I gather from your answer that there is no way to make this option work under our configuration, and we need to incorporate it with rules in order to achieve the desired effect. If I misunderstood, please make me wiser.

    PS If we do incorporate it with Rules - is there a limit to the number of rules? Or better - can I make a general rule to move from one folder to another with the same name but in the *.pst (thereby covering all in one rule).

    everything should be on the server for easier backup and restore - if it takes more server space, so be it. hard drives for servers are cheaper in the long run than backing up local drives.

    rules has a 32 kb limit. you can make the rule move copies of all mail when sending. i'd then set the mailbox policy to delete messages older than xx days from the sent folder, since rules can only copy from sent, not actually move. alternately, run a rule manually on the sent folder using "after arriving" instead or use exlife.
