    Paste Options (XP)

    We are having a consistent problem with copying and pasting outline styles from one document to another. In the original document, Heading styles are applied and have been properly modified (via Modify Style). We then select and copy that outline - including the paragraph mark following the last outline paragraph. Then, when we paste into the new document the style names transfer, but the formats do not. We then click the Paste Options, Keep Source Formatting option and all of the text changes to the Normal style!! We have tested this using various scenarios and it does not appear to be document specific. Anyone ever encounter this problem or have any ideas on how to solve it? Thanks in advance for any input.

    I don't have Word 2002, but whether pasted text keeps the source formatting or takes on the target paragraph formatting depends upon a couple factors. Since you are including the paragraph mark in your selection when copying, the rules are:

    1. Text that contains a paragraph mark keeps it's style formatting in the target document IF the style has not been previously used in the target document. To be considered "used", the pasted style must have the exact same name as the previously used style. You can find a list of styles used in a document by going to Format/Style & make sure the drop down list box says "Styles in use".
    2. Text that contains a paragraph mark adopts the style formatting of the target document IF the style has previously been used in the target document.

    For the source document style to have been used in the target document, the style names must be identical. I suspect that you modified the Heading styles in the target document, they will take on the source documents heading style formats. If you want the pasted text to retain it's formatting, then first copy the styles from the source to the target document using the Organizer.
