    Printed document not the same as on the screen (XP

    When a document is printed in Word XP, the pagination is off from what is being shown in the Print Layout view, as well as the Print Preview. The document has been created from one of our company templates - and all of our templates were created in Word 2000. If I open the same document in 2000, it prints correctly. And if I save the document in 2000 and open it again in XP...it also prints correctly.

    We have a number of XP computers here - and I've only seen this happen a few times. Does anyone know what causes this or what I can do to stop it from happening?

    You could try Tools > Options > Compatibility and set "Compatible with Word 2000"
    If this fixes it then have a look at the values that it set and try clearing them

    I've checked Tools > Options > Compatilbility and it is set to: Recommended options for: Microsoft Word 2000. I think the part that stumps me is that it has only happened on about 3 computers and we have about 30.

    Is a font being substituted on the printers? Just a thought...

    This same thing is happening here. You open a document in 2000 and it appears and prints fine. When you open it is 2003 XP, the page actually changes right before your eyes on the screen to almost a different paper size? It then prints smaller. Opening and printing it on the 2000 machine is fine.

    This happens on Word 2002 when the document has comments or revision tracking somewhere in the file. The document is shrunken to make space for 'thought bubbles' to appear off the side. Check that the print dialog says it will print the 'Document' not the 'Document with Markup'

    Awesome! Switching the Default "Use Balloons" setting to formatting only worked!! I am telling you - this one had me baffled - it would literally move over the margins right before our eyes on the screen. It was Friday and we were like...what the heck???

    Unfortunately that's not the problem that we are experiencing. Comments and tracking have not be used in any of these documents. And they aren't even from the same template, so I can't blame that.

    One problem document has a list of items. Print Preview shows that the page break should happen between item 4 and 5, but when it prints, item 5 fits on the page. I have confirmed that 'keep with next' is not on either.

    Go to Tools/Options/Compatibility/User printer metrics to lay out document. I keep getting it mixed up, but I think you want it checked. Look at the computers that show a difference between the actual printing & Print Preview & see if the option is different in those machines. Either way, I'd appreciate it if you report back if this helped.

    Hi Lisa, I have seen this type of re-pagination and FWIW we found that we needed to reset the compatibility options for Word. When we moved from Word97 to Word 2000 we had similar issues but when we cleaned up our templates so that all of the options were set appropriately (to be Word 2000-friendly), after that we had no paper-page-ending surprises. As Phil indicated also check under Tools|Options|Compatiblity re print metrics. Also a lot of the issues with Word 97 are corrected with Word2000 and likewise Word2000-Word 2003

    Hi Phil,
    Yes, thanks - changing the option to have 'use printer metrics to lay out document' checked worked with the printing issue. I think the best thing I can do is open all of our company templates and change this option.

    I noticed when I checked the box, the 'Recommended options for:' field changed from "Microsoft Word 2000" to "Custom". Is this a problem?

    Hi Diana:
    The fact that the options are "custom" rather than "recommended" won't pose any problem. Sometimes the recommended options are not the best. <img src=/S/smile.gif border=0 alt=smile width=15 height=15>
