    Limit enterie without combo or list box (access2000)

    When others are entering, I would like them to be consistent in entering items like sex (use capital M or F; not type out the word) and in race, marital status etc. I prefer not to use combo boxes or list boxes due to the space (these entries are make into a sub form of the family for each of the persons.) Is there a way to limit the entry to half a dozen possibilities and then put a help box to give the data entry person the right answer if they forget? I probably am not stating this well. Thanks for your thoughts. Ginger

    You could do the following:

    - Set the Validation Rule property for the gender field to
    "F" Or "M" Or Is Null

    - Set the Validation Text property for the gender field to
    Please enter only F or M.

    - To display the gender field in upper case, set its Format property to
    >

    <img src=/w3timages/blueline.gif width=33% height=2>

    Another option is to create a table tblGender with only one field (text, size 1, primary key). Create two records in this table, put F in the first and M in the second one. In the Relationships window, add your main table and tblGender, and join them on the gender field. Tick the "Enforce referential integrity" check box.
