    Numbering in Chapter & Appendix headings (Word SR1)

    I have a document (but not the *.dot file) that has Heading 1-->9 tied to automatic numbering (1., 1.1, 1.1.1, 1.1.1.1, etc).

    Normally, our company's template uses Heading 1 to number the chapters (Chapter 1, etc.) and Heading 9 for the Appendix designations (Appendix A); Headings 2 through 8 are not attached to any numbering system. Other than creating a whole new style system, I cannot figure out how to have numbering when I use Headings 2-8 in the Chapters but no numbering/different numbering when I use Headings 2-8 in the Appendices.

    I thought about defining new headings (H1-app, H1-app, H3-app, etc.) for the Appendices so that
    H1-app = Appendix A
    H2-app through H9-app use automatic numbering (1.0 for H2, 1.1 for H3, etc.)

    Can you create a 2nd set of Heading styles based on the first level of heading styles and attach them to a different numbering system? I want all of these to be pulled into the Table of contents.
    If so do you base it on a different position on the Outline numbering List Gallery?
    Can you mix the letter designition for H1-app with number designations in H2-app through H9-app?

    I do not want to waste hours making something that won't work or will bomb with other users.

    Y es, you can do what you describe. There are some tricky things to get right.
    <UL><LI>Define everything about each of your 18 styles, except for the numbering first
    <LI>Then put the cursor in a Heading 1 style, visit the bullets and numbering box and set the numbering for all 9 heading styles before you exit the box, make sure you use the More button to associate each level with the correct style.
    <LI>Then put the cursor in an H1-App style, visit the bullets and numbering box and set the numbering for all 9 appendix styles before you exit[/list]Have a look at Word's numbering explained on the MVPS web site / for more help, and post back if you have problems when you try it.

    Headings 1--9 were already built and seem to be working fine.

    I understand what you are saying, but do not understand how to make all of these be pulled into the TOC... is H1-app based on Heading 1 initially, H2-app based on Heading 2, etc.?

    I DID do some reading on the MVP site, but it was unclear as to whether H1-app could be letter-based and H2-app (based on Heading 2) could be a number, but at a level higher than Heading 2... Heading 2 = 1.1 and H2-app = 1.0

    It did not seem to be working when I tried.

    Do the styles Heading 1 to Heading 9 and H1-App to H9-App in this document behave how you want? If so then you can copy tem to your template, if not then let me know what's wrong.

    Unfortunately, I do not think so. The original document had Appendix A = heading 1, 1.0 = for heading 2, 1.1 = Heading 3, 1.1.1 = heading 4, 1.1.1.1 = heading 5 and they hand numbered the items. So, for now, I created Appendix A with an automatic letter designation, but am hand numbering the Headings 2-->5. What a drag!! [I am working on it now]

    I will keep your styles in case the powers that be change their minds.

    I don't quite follow your description, if I copy it and write it with new lines where I think you are describing different styles then it says...
    Appendix A = heading 1
    1.0 = for heading 2
    1.1 = Heading 3
    1.1.1 = heading 4
    1.1.1.1 = heading 5
    but this makes Heading 3 identical in format to Heading 2, and tells us nothing of what Appendixes should look like, so I guess I haven't understood.

    If we can understand what you want then I am sure we can automate it for you. Can you create a Word document, similar to mine, with the styles you want to use, numbered by hand so we can see the correct numbering.

    I spoke to the reseacher and your numbering system is OK to use (YEAH!!!).

    question (see attached screengrab)
    I do not see this field list name in styles; is it something that is already available in the Word 2000 MS or did you create it? I have based my styles on Headings1 to 9 for the chapters, except for the numbering aspect. So I need to know if I must create appnum or not... :>) If so, how do I do that???

    Hi Georgette:
    Stuart's not online right now, so I'll answer this one. The field name is an arbitrary name & is not a style. Just give the numbering system a name in that box, so that if you are later troubleshooting a problem, you can see at a glance that you are using/modifying the correct numbering template.

    Thanks! So what exactly is a ListNum field name? If I can get the headings for the appendices to work, I have to create an identical set for Annexes. Will there be a conflict if I just "type" the name name?

    The tabs you see when you go to Format/Bullets & Numbering are called List Galleries. There are 3, & they display the last 7 List Templates used. Each numbering scheme is a List Template & are contained in the Registry. Because you can have hundreds of List Templates in the registry & Word only displays 7, you can't always tell what numbering scheme you're in...even if it's in the same position in the List Gallery. The ListNum field name is simply a name given to a numbering scheme & helps you identify which scheme you are using.

    I would use a different ListNum field name for each numbering scheme that you use. While I've never tried to use the same name for different schemes, at best it would be confusing...at worst it would create a conflict. Why don't you just name one Appendix & one Annex. <img src=/S/smile.gif border=0 alt=smile width=15 height=15>

    Just out of curiosity, I created two entirely different List Templates & named them both the same. It didn't seem to make any difference in the numbering, but I still think it could cause confusion.

    OK, I will give it a try. I just have to type in a name, huh?

    In my research about the pitfalls of numbering, one of the MVP's said the only "rock-solid" way to attach a numbering scheme to a style was with Visual Basic code... true or false??

    True - but only because you can re-run the code whenever the numbering scheme gets scrambled. It isn't rock solid but it is easy to panel-beat when the fender gets bent.
