    db creation assistance (A2K)

    Hi!
    I went back to grad school to get away from the job where I was responsible for database creation...and it's sweet irony that I'm back asking questions again..

    Anyway, I have a zip file with two jpg images of a report that I need to take data from and create a database of...this is only my second project, and the need is somewhat different from the first, so I'm just looking for any and all opinions about how I should go...I can't, however get it under 100K...even for one image zipped...any suggestions on that also?

    First, I did not create the report, so I don't know why it's in Access, as opposed to Excel or Word, or why it looks so funky, but that's what I'm working with.

    Second, if you'll take a look the answers are a myriad of quantitative and qualitative values that fluctuate at an even greater scale if you saw all 200 pages of data I need to enter.

    My first thought is to create a form where the data entry person could just click a check box for the right answer...but then I was wondering how I attach that check box to my underlying table.

    Then when I really started looking into how many possibilities for answers there were, I became even more concerned. Would I have to make a table with a hundred fields to catch each variation? Should I make a table with just answer fields and query it to a table with the question in order to make a form/report?

    Thanks for any time you take thinking about this. I think I am feeling a little overwhelmed.

    About the images: you can experiment with saving them as a different file type - try .gif and .png. Whether this will get the images under 100 KB is unpredictable, but it's worth a try.

    If that doesn't work, you'll have to provide more information; I get the impression that you're talking about a kind of survey, but we'd need to know (much) more before we can give advice.

    I got a copy of the work done previously and zipped it here. It should show the report that I was talking about in Access format rather than jpg.

    It is a survey, for which they want to create this db to work with ArcView GIS and to be able to export the data into statistical software such as SAS or SPSS for analysis.

    The table in the database is a metadata table that describes the elements of a questionnaire; the report is an example of a printable questionnaire.

    Survey databases are not easy, you either wind up with a relatively simple but inflexible design, or a complicated but flexible design. See the threads starting at <post#=127982>post 127982</post#> and <post#=91033>post 91033</post#> for some ideas. I have no idea how to create a database that works with ArcView.

    Before starting to build a database, I would also look into other possibilities, such as specialised survey software and web surveys (search Google.) That might be more attractive than Access in the end.

    The reason they want to use Access is because ArcView supports the Access file format and can import and export using that format. Can't they provide you with some documentation on ArcView that will get you started? I've never seen a GIS shop that wasn't loaded with manuals and even demo copies of ArcView.

    Hi Charlotte,
    The only other db I've ever created, I formatted to work with ArcView and it's going like a champ, so I've kind of got that part worked out.
    But with this new project, I'm just trying to get my head around the best way to set up the tables as there are just so many possible answers for each survey question. This morning I'll go through the threads Hans suggested.
