    Duplicate Email (Outlook 2002/SP3)

    I am wondering why I am receiving duplicate emails. An email already in the inbox 2 days ago gets downloaded again after a few days.

    Some have rules, some are not. For example. I created a rule if i receive an email from my sister, move it to a specified folder. That email gets downloaded again.

    Any ideas on how to fix this? I search Knowledge Base and did not get anything. I just started using Outlook, I used to use Outlook Express and that did not have the email duplicate problem.

    Any help is appreciated. Thanks!

    Check your account settings. Make sure that "Leave a copy of mail on the server" is UNchecked. HTH

    Do I have to uncheck that option?

    Many times in the past, I have deleted a message and cleared and trash and finds that I need the email back. The only way I could get it back is from the server.

    Is there another way to fix this problem?

    Is the problem common?

    If you leave a copy on the server, it will continue to get downloaded until you delete it from there. In principle, the "leave it on the server" routine is only for people who are not at their home machines. That allows them to review their email while they are travelling - and download it permanently once they get "home".

    I can only suggest that you revisit your deletion policies. If you had really large volumes of email, you would exceed your mailbox size at the ISP. These days computers come with extremely large hard disks. You can also store on CDs and DVDs. Most ISPs will automatically delete old mail anyway - although it may take them 12 months to do so.

    Is the receiving of duplicates sporadic? Or does it only affect messages that have rules applied to them?
    There is some means by which Outlook tags downloaded emails so that it will not duplicate a download - I forget the technicalities immediately - but I understand that if the download does not complete successfully, it doesn't know it has already received the mail item.

    How often do you download mail? If it is every hour and suddenly two days later you receive a duplicate - that is odd. If you only connect every couple of days and receive a duplicate, it could well be for the reason I gave above.

    One final thing to check is that the 'duplicates' truly are duplicates. View > Options on both and compare the ID's - there may be something going on with your ISP.

    I think that if everything is working correctly, this is not true. Either on the client PC or on the mail server, or both, there is a record of what has been downloaded by that mail client before, and it should not be downloaded again. But when things go wrong, yes, you can get hundreds of duplicate messages. At least in principle, though, the system can work properly.

    In Outlook 2000, I believe there was a file whose name began with rhc that was related to keeping track of what already had been downloaded. Whether this simply stored the date/time of the last downloaded message, or something more nuanced, I don't know. I also know from working with a POP3 mail server that there is some sort of tracking file kept in the server side. It sometimes seems to contain a pointer to the next message to offer the client, but if one were to access the folder with multiple clients, I'm not sure what it would end up remembering.

    I realize this doesn't help all that much with the troubleshooting, particularly if the problem is intermittent. It might help to keep track of exactly when and from what computer(s) the mail is retrieved, and whether you might be logged in differently when duplicates are downloaded. That and accepting the occasional hiccup.

    I definitely don't believe that you get re-offered the same mail each time you poll a server - with the "Leave Mail On The Server" option enabled.

    OTOH I have heard of recurring downloads of the same mail - every few days. There may be Lounge threads on the subject - although not from people who wished to use the POP Server as a backup store.

    Given today's pressures on Mail Servers from spam etc, I just would expect "the occasional hiccup" to arise more frequently than in the past.

    About 4 months ago, (OL XP) I started getting 2 ( or more ) copies of most e-mails. I looked at everything and checked and unchecked everything that could be checked or unckecked. I added rules and removed rules..... Nothing worked. Then it after about 3 months it stopped.

    I think I narrowed it down to my POP e-mail supplier "Myrealbox.com". They were doing a lot of upgrading at that time and were 'down' quite alot. They seem to be 'back' now and the duplicates have stopped. Only once in a while do I get one.

    So....That is what I think was causing the duplicates, not OL

    I wanted to wait a few days before replaying so that I can do more testing.

    It seems like the emails w/ rules are the ones being downloaded multiple times.

    Is this a known issue in Outlook? I did not have this problem w/ Outlook Express.

    What do the rules do?

    As a general note: there is a special action you can add to a rule to "stop processing more rules" for a message after taking whatever the main action is. You might need to add this to avoid the situation in which a message triggers two different rules. If this doesn't help, we'd need to know what the rules do.

    The rule is simple. If I receive an email from a certain person, move it to a different folder. That's it.

    Do both copies end up in that folder, or one in the folder and one somewhere else? If they end up in different locations, try the "Stop processing rules" trick and see if that solves it.

    No, they show up on the same folder.

    I don't know what to do. It's irritating, LOL.

    What are the settings in the server area about leaving deleting the file from the server?
    Which is checked?
    1) Remove from server server after ?? number of days?
    or
    2) Remove from server when deleted from "Deleted Items"?

    Now running HP Pavilion a6528p, with Win7 64 Bit OS.
