    Sorting within a report (Ac97/WinNT4)

    Sorry to ask what I'm sure is a relatively simple question, but the Ops people here have decided in their wisdom not to install the help files for Access, and I couldn't think where else to ask! I am looking after a database created by someone else, and I'm not really qualified to do so, but I have to try!

    One of the reports it contains is based on a query and the user would like the results to be sorted first by one column, then by another, ie name and then date purchased. I have found the sort row in the query, but I can only set it to sort on one column - how would I produce a two-layer sort on this report's results, please?

    Many thanks in advance for any help, which is much appreciated!

    Hi Beryl,

    Reports completely ignore the sort order you set in the record source (query). You must specify the sort order in the Sorting and Grouping window that is available when the report is open in design view (View | Sorting and Grouping, or the corresponding button on the tool bar.)

    You can select several fields in this window and specify the sort order. Put the most important one at the top. See screenshot.

    Sorting in the quey does not affect the report. You have to use the grouping and sorting dialog in the report design view to set the sorting for the report. You simply select the field for sorting one at a time. The sort will be by the top field first, then th next field, etc. The attached graphic includes a picture of the sorting and grouping button, the odd blue button to the right of the tools button.

    By the way, I'm sure that when I once said you always seemed to be the one to answer my questions, you replied (among other things) that if I posted to the Access forum, you wouldn't!     Are you sure I wrote that about Access? This is the forum I'm most active in. It seems more likely that I would say such a thing about Hardware, or Servers, or something like that.

    Semi-Rant On:

    Tell those people to get off of their buns and install it for you! All the help files are completely necessary -- although, I might add, that the XP help files have been particularly unhelpful and extremely frustrating, and I go back to Access 97 help files frequently to get the answers I need.

    Still -- there's no excuse not to be given the help files, even it it _isn't_ a default installation, and even if it _isn't_ as helpful as earlier versions of the helpfiles.

    Hi Pat, I totally agree, and first thing Monday I'm going to do a bit of knocking-together-of-heads, but I needed the answer to that question right then and didn't have time to wait for them to get their act together!

    You obviously didn't notice, by the way, that we are still on Access 97 (it says so in brackets after the thread name!) so I *will* be getting the 'helpful' version of the help files!
