    Attached Templates (Word 2000 SR1)

    I would like to understand how attached templates effect documents opened when the attached template is not available? (Clients, co-counsel, blah blah) Is there a possibility of the inability of the outsiders not being able to open the documents. Trying to determine whether there is an advantage. Thanks in advance.

    The article by Payne Consulting does not directly address your question and it also misses some important bits of information so here comes my suggestions...

    Generally, the other users will not need the template in order to read the file. One situation where they will be prompted to find the template is if the document is told to load the styles from the template when opening. This is the effect of ticking the Automatically update document styles in Tools > Templates and Add-ins. This setting should always be left OFF in documents.

    If the users do not have access to the template, they will also not have access to the toolbars, keyboard shortcuts, macros, autotexts that the template may contain. This should not be a problem for just reading the document but is less than ideal if they need to edit the document.

    When a document is opened it goes looking in the background for a template (with the same name - not necessarily the same template) in one of the locations listed in the Payne article (+ the Workgroup templates location which wasn't listed). If a template is found, it is made available, if not then no dramas, the file opens without it.

    A problem on WANs occurs when the template is found by Word but it takes a long time to load because it is located at a remote location. An example might be an office in Australia creates a file with a local template attached (using a path like servernamedir1template.dot) and then emails the file to the US office. If the user in the US office tries to open the file and they have access to that templates file path, they will be forced to wait (minutes) while the template is copied across the ocean from Australia even though the document itself is local. This is normally a problem where bandwidth between offices is an issue (or the template is huge).

    Just a footnote to the above: the end user checking for the name of the document template that they don't have will see Normal.dot, which is Word's fallback. I think there were some discussions here or on the VBA board about where Word stashes the true template name and how to find it. Perhaps right-clicking the file and checking the properties (before you ever open it) would do the trick. But I digress. Other peoples' confusion about missing templates probably is not your problem. <img src=/S/smile.gif border=0 alt=smile width=15 height=15>
