    Breakdown to Show Regular vs. Overtime Hours (Access 2000)

    Could anyone please advise me on how to best accomplish the following task:

    We have a project time allocation database. Employees enter their time using a database form, indicating the hours they worked on various projects per day. There are 4 fields

    I'm afraid you are stuck with identifying OT hours on a project. The problem is that if someone works on more than one project during the day, you don't know where the OT should be allocated. I suppose you could use a simple algorithm that split the overtime against all jobs a person worked on in a given day, but that may or may not be a reasonable representation of reality.

    Hello, Wendell...I probably didn't make it clear that it is only when a record or 1 project has more than 8 hours entered--it doesn't matter that an employee worked on several projects during the day the day's total hours were over 8--it is only when there is more than 8 hours indicated for 1 project that day. What do you think in this case? Thanks...Mary

    You could create a query based on the time allocation table with two extra calculated columns:

    RegularTime: IIf([HoursWorked]<=8,[HoursWorked],8)
    OverTime: IIf([HoursWorked]>8,[HoursWorked]-8,0)

    A report based on this query can sum the RegularTime hours and the OverTime hours for the grouping level(s) defined in the report.

    It looks like Hans has already suggested what I would do. And I think it should work, but let us know how you get on with it.
