Where are saved e-mail files kept and in what form (Office XP)

    Hi,
I have a ton of saved e-mails that I don't dare delete but I am running out of space on my hard drive. I'd like to transfer them to a CD but can not locate them. I "thought" they were .pst files but when I search nothing comes up. Any advice (except to buy a larger hard drive? <img src=/S/wink.gif border=0 alt=wink width=15 height=15> I'm working on that, too!)
    Thanks, as always.

E-mails, appointments, tasks etc. are indeed stored in a .pst file, but its default location is within a hidden folder. So you must select Tools | Folder Options... in Windows Explorer, activate the View tab and click the radio button labeled "Show hidden files and folders". The default folder for your .pst files under Windows XP is

    Cocuments and Settings<username>Local SettingsApplication DataMicrosoftOutlook

The "standard" file is named Outlook.pst, but there may also be an archive file Archive.pst, and perhaps others.

Unlike Outlook Express, which has separate files for each folder (e.g., Inbox.dbx, Sent Items.dbx, etc.), Outlook tends to keep all mail in a single PST file until you instruct it to do otherwise (or you let it AutoArchive messages). I work with 4 different PST files, sorting stuff into them (and backing them up) based on what they are. For example, mail from clients goes into one PST, while Spam goes into another.

So you probably need to create a new PST (File>New>Outlook Data File) for the purposes of your backup, drag stuff into it that you want archived, close the PST file (right-click it in the Folder List), close Outlook, and then you should be able to burn it to a CD. Or maybe two. <img src=/S/smile.gif border=0 alt=smile width=15 height=15>

When you do archive out your PST, you'll find the archive PST files are quite compressible using PKZip & the like.
