    Cleaning up Scanned Docs (Word2000)

I scanned a very complex document using ABBYY Fine Reader 4 (came with my scanner) into MS Word 2000. It was almost impossible to clean up. I eventually had to revert to a text only document which I imported into Word and then applied the Word formatting. There is one remaining problem. (I tried to attach a pdf file to this post to show the problem, but it was rejected by the forum Post).

There is a very long Numbered list in one part of the document. It starts with item A and goes through item T. For some reason MS Word insists on having two items numbered "O". I have tried every thing I can think of to get the numbering corrected to no avail. I have even tried to delete either the first or the second item "O", but the list still has two items "O" after the deletions.

Does anyone know if this is a known problem or if there is something "fishy" with my scanned items? I have tried to see if there was some way to do the old "Reveal Codes - from Word Perfect", but could not find any way to see what is causing Word to act this way.

As a second part of this post - does anyone have a good technique for scanning documents into MS Word to ease the clean up task?

I will try any work arounds that anyone has to see if I can get rid of the two Item "O's" so that the list is logically correct.

    Thank you

    Tom

The software supplied with scanners is usually an OEM watered down version of better software.
You'll likely get a lot bettre result if you use something like Omni Page Pro Office 14.
Call Scansoft to see whether you qualify for upgrade pricing. Phone number is 978-977-2000 in USA.
Upgrade version was around $165 (US) in July.
Check sites for rebates, there was a $50 rebate at http://www.atomicpark.com in July.

You can find best prices by checking at http://www.pricegrabber.com.

I don't use automatic numbering if I can avoid it. <img src=/S/smile.gif border=0 alt=smile width=15 height=15> However, there probably are a couple of different ways for it to get messed up. Could you create a stripped down version of the document, delete everything except the list and change the list item text to something innocuous (like the word "text") and post that for review?

Sorry, it isn't possible to diagnose from a PDF, because you can't inspect the list templates and other settings. If the .DOC file is over 100K, see if you can delete stuff later in the document to get it down under the Lounge limit.

With respect to your numbered list, it is likely to be considered by Word as more than one list, which is why you can get "spaghetti" numbering. Check out the steps in <post#=76976>post 76976</post#> to repair your list.

Thanks for trying to help - I am going nuts. I deleted everything identifiable - except for the area in question - I think the multiple "O" items are about on page 5 - 6 .

As I mentioned in my previous post, the numbering isn't set up correctly. The double O's resulted from the fact that one was autonumbered & the other was merely typed. I deleted the first "O.tab", backspaced the paragraph once to attach to the end of the previous paragraph, then pressed <enter>. The numbering was corrected. See attached.

The first <big>O. </big> is NOT a bullet., it has been typed. Simply delete this O. (and the tab that follows it, and the paragraph mark before it) and type Enter to add a proper bulletted O. at that point and everything else will work correctly.
