    Object cannot be accessed in shared sheet (ExcelXP)

    I have a sheet in which I need to embed a file (mostly a TXT or DOC-type). To do this, I simply use "Insert > Object > Create_from_file", then browse for the file and insert it as Icon (use change icon to change the displayed test, removing the path).

    This (of course) works normally.

    Now, I want to share the sheet, so (after saving) I now select "Tools > Protection > Protect_and_Share Worksheet" (and selecting "Sharing_with_Tracked_Changes").

    Suddenly the embedded files are no longer accessible... I did some more short tests and it seems as if in a shared WB, embedded objects in general cannot be accessed and/or used. As soon as I remove the sharing, the object becomes available again.

    Anybody have a clue as to why this is?? And is there a way to embed objects in a shared WB in such a way that people CAN access these objects???

    I have always been wary of sharing workbooks; Excel isn't really geared for multi-user. My impression is that shared workbooks are far more susceptible to corruption than non-shared ones.

    According to Troubleshoot shared workbooks, 'Insert or change pictures or other objects' is indeed unavailable in shared workbooks. The 'alternative' recommended by Microsoft is 'You can view existing pictures and objects'. <img src=/S/crazy.gif border=0 alt=crazy width=15 height=15>

    OK... it would be perfectly OK if the only thing my users could do would be to view the embedded objects (I don't need them to either insert or change them). My problem is that it seems as if even viewing isn't possible (I use Excel2002)

    Can't you use a hyperlink instead? Hyperlinks do work in a shared workbook, although you cannot insert new ones, or edit the target of existing ones.

    Thought about that but I need to have a fixed copy of certain files inside the sheet (to allow later review with all the original data still present and included)

    Some options:
    Do not insert as icons, insert as pictures and they will be viewable

    Hyperlinks, but link them to "static" files that do not change (readonly, etc)

    Do not "share" the files (I have never heard anything good about it, especially the issue with "probable" corruption)

    If the file must be editable by multiple people (files can be viewed by multiple people easily enough without sharing, as long as you only edit one at a time) Use something other excel. Access is more shareable and (I assume, I don't use access) can also handle objects.

    Don't understand... how do I link a Word document as picture?

    On hyperlinks: even if they are sort of static.. if i'd revisit the Excel-file in a year from now or so the file might no longer be in the same location on the network and/or the file itself could still change... all of this is what I'd like NOT to happen.

    Agree with the fact that maybe sharing in Excel isn't such a good idea, well... NOW I realize.... my sheet is already complete and I'm not going to redo the whole development in (e.g. Access... I was thinking about Adobe Designer maybe, but that might be a next generation of the sheet)....

    Hans,

    This seems to be without a real solution other than the view option you indicate. That would certainly work (and be sufficient) for my application. I just don't know how that would work... Any clues from your side?

    I'm not sure it will serve your purpose. If you don't tick the "Display as icon" check box in the Insert | Object dialog, the first page of the document will be displayed in the worksheet, but since you can't do anything with the object if the workbook is shared, users won't be able to view the other pages of the document. So this will only be useful for one-page documents.

    Not sharing the workbook would be better.

    You can create a picture of each page of the word document and lay them out as you desire so they can all be viewed.

    You can not work with these object when they are shared, since excel is not capable of keeping track of all the changes that may be made to these embedded objects especially in other programs. If (eg) 2 people werre allowed to edit the embedded wordfile, which changes would be preserved? - Excel chooses to not allow any changes at all (easier)

    Hyperlinks work since the file is not embedded. If you use excel you will have to decide what conmpromises to make between sharing, viewing, and embedding.

    Thanks all for your tips and help. I realize now that this is a dead-end and that I'll have to look to alternatives (maybe a link afterall???).

    (One final remark about the last reply indicating that Excel wouldn't know what to do with changes to an embedded object... my suggestion (to MS??) would be easy: while sharing an Excel-sheet with embedded objects simply disallow any changes to these objects (make'em read-only). That would be easy and... it would work perfectly for my case)
