Show tracked changes (2003)

I have to track the changes in a particular Word document - then I post this document in a folder on our server so everyone has read-only access to it. Since I got 2003, no matter what I do - Options, Security, clear the show changes box, make sure the changes are not showing when I save it, whatever - when the person on the other end opens it up, all the changes show.

Help me!

Perhaps it's the settings of the person on the other end that's causing it. If they've selected the option to "Always show markup on open" or something like that (I don't have 2003 at hand), then they'll see the changes, regardless of the settings you've applied.

Maybe you could post a copy of the original, with all the changes accepted? Then just update the copy whenever you change the original. You could certainly even script that sort of thing.

Thanks for the reply and the suggestions. I'll think I'll just have to remember to turn "track changes" off before I put it out there.

I don't think that turning off track changes will help if the user has this option selected. You would have to accept all changes in document as well.

Good point - duh! I made sure MINE was turned off - never occured to me that the other people would have that option turned on. I'll have to include a note and a graphic to show them how to turn that option off.

Personally, I would encourage them to leave that setting on and just toggle it for your document (using the toolbar), since usually it will be highly desirable to know about tracked changes in a document. (Both to prevent documents from going out with embarrassing markup, and to explain strange editing and printing behavior.)

Here's the difficulty with your suggestion at the school district where I work - approximately 2500 employees - the tech dept will NOT allow me to email everyone at once with tidbits like you suggest because it would give me "TOO MUCH POWER" - I often feel just like Alice through the looking glass - so, bottom line - they just have to figure it out for themselves - fat chance!

Maybe you can get it by asking for funding for everyone to have a 4 hour training session? When they complain that this is too costly, you could suggest a weekly email "tip sheet" instead. <img src=/S/smile.gif border=0 alt=smile width=15 height=15>
