    Paste as picture and turn off Float (Word XP)

    Howdy.

    I clean up scientific documents written by other people. When my authors paste their diagrams, they paste them as pictures, and they don't float. Unfortunately, then they add text boxes and callouts to these figures, and these (of course) do float. The publishing package we use doesn't transform these "combined" images correctly, so I float the diagram, group the diagram with the text boxes and callouts, cut the whole thing, and paste it back in as a picture. Then I turn off Float again.

    It's pretty laborious, especially for 20 diagrams per document.

    I've tried writing macros to do this, and had no luck. Is there a better way to do what I'm doing, and if not, can anyone provide some macro help?

    I'm no good at floating things, but the anchors for them presumably are very close to the inline picture. I can imagine a macro where you start by selecting generously around the picture and then convert the inline shape(s) to floating shape(s), group all shapes in the selection, re-select just the grouped shapes, cut, and paste special as picture. I guess you have to be very careful with the paste to avoid losing text or getting the picture completely in the wrong place. Probably makes sense to first note the location of the inline picture (store its position) and reposition there before pasting. Could be a fun project for someone better with shapes than I.

    I wouldn't dare try to take this one on. It is hard enough to do manually.

    You should be able to find the position of each shape relative to the page, and it's size. This may help to determine which ones are supposed to be grouped together - but I'd expect any macro to get it wrong occassionally.

    Maybe it's easier to create a macro that does the inserting bit correctly, including the textbox and callout, with a click on a button? Of course his would also mean that you have to distribute that macro, with instructions how to use it, to every author.
    Just a thought, not sure if it's workable in your situation.
    And I think it's a bit over my head to create that macro; I haven't much experience with inserting things with macro's.
