    Modifying Styles (Word 2002)

    I have a document in Word with a number of chapter numbers through the document. It also has a number of styles already defined. I wish to modify the style for the chapter number and am having trouble.
    In the Task Pane I have displayed the Styles & Formatting so I can see the styles. I have reviewed the setting of the Chapter Number Style by right clicking on the style and selecting Modify and reveiwing the available options. However it does not seem to offer here the options I need. I want my chapter number to be smaller and nestled down into the side of the paragraph more.
    So I understood I could modify one chapter number and then tell the style to change to be like this modified chapter number. However I am having trouble doing this.
    Can anyone help me to understand how to do it?

    What happens if you click Format in the Modify Style dialog, then select Numbering... to open the Bullets and Numbering dialog, and click Customize...?

    Once you get into the Bullets & Numbering dialog box, as Hans mentions, click the Font button. This will allow you to change the size of the Heading number without changing the size of the Heading text.

    I'll include a copy of the file so you can see what I am talking about. Because automatic numbering has not been used to generate the chapter numbers (and this is an export from a program that I can't control), I don't think your suggestions will work.

    Both Hans & I thought you were talking about automatic numbering. What you want is simply a question of modifying styles. Since I have Word 2000, which doesn't have a task pane, my method was slightly different, but would work for you & is easy.


    <UL><LI>Put the cursor in the paragraph that contains the chapter number.
    <LI>Click in the size box on the Formatting toolbar & type in a smaller number (e.g. 13) & press <Enter>.
    <LI>Click in the style box on the Formatting toolbar & press <enter>. When asked if you want to update the style, say "Yes".
    <LI>Put the cursor in the "body text" (the (p) PARAGRAPH [First Line Indent] style) portion of the document, right click & choose Paragraph...
    <LI>On the Indents & spacing tab, decrease the space before (say to 6 pts). This will "nestle" the number closer to the text.
    <LI>Click in the style box on the Formatting toolbar & choose <enter>.
    <LI>When asked if you want to update the style, say "Yes".[/list]This should take care of making the number style smaller & nestle it closer to the text. If you want to retain 12 points of spacing between body text, however, you'll have to create a separate style for the second & subsequent body text paragraphs. An easier way would be to create your styles with space after, rather than before. That has some disadvantages also, but might suit your needs better.

    Thanks Phil, I am using Word 2003, so I am not sure if this is the trouble, but when I click alt enter, I am not offered the option to update the style.

    The other thing I would like to do is incorporate into the style the fact that I want the chapter niumber to be drop cap. the documents are very long and I have a lot of them, so I'd like to be able to associate a style sheet with the document and the chapter number automacially become drop cap. How would I do this?

    1. Make sure the Styles and Formatting pane are visible and the menu VIEW is set to PRINT LAYOUT. You should have non-printing marks visible (TOOLS, OPTIONS, VIEW, Formatting Marks, All (or at least paragraphs)) I strongly suggest also checking the menu TOOLS, TEMPLATES AND ADD-INS is set so that "automatically update document styles" is NOT checked.

    2. Highight the paragraph with the chapter number. Include the paragraph mark (pilcrow)
    3. Use the menu FORMAT, DROP CAP. Select the style of drop cap you want. Start with the "dropped" style and do not mess with the defaults. Click OK.
    4. Take your mouse over to the S&F pane, and click on the down arrow next to the style listed for the chapter numbers (it should be highlighted from step 2) and click on UPDATE TO MATCH SELECTION.
    5. If an additional paragraph symbol shows up in the text where you made your first dropped capital, delete only the extra pilcrow. Do not delete both paragraph symbols inside the "frame"

    Hi Walbert:
    In Word 2000, there is no formatting task pane. Nevertheless, my earlier post didn't say to press Alt+Enter, it said to press Enter. I don't know if this still works in Word 2003 or not.

    Hi, Phil -- it's turned off "out of the box" In XP and 2003. It can be turned on by going to Tools / Options / Edit tab and put a checkmark next to "Prompt to update style."
