    Maximum number of characters / names in address (Outlook 2003)

    I am the membership secretary of my local tennis club, and therefore need to send out mass e:mails on occasions to the membership.

    Is anyone aware / able to inform me if there is a maximum number of characters / addresses that can be entered into one e:mail? This will enable me to split my address list so that I send out the minimum number of e:mails to the maximum number of people.

    In all likelihood, there will be limit will be set by your ISP as an anti-spam measure. I recommend you talk to them first .

    I am unsure if there is a physical limit set by Outlook, but would suggest you do not fill the To: field with recipients - incoming emails when printed out will list them all and having the first one or two pages just listing the mailing list is not terribly nice! There are ways to do it using the Bcc field, a search in this forum should yield some clues.

    Depending on your definition of 'mass', it may be worth investing in some listserver software which will allow you to send out bulk emails - the good ones automatically handle bounced mail, automatic subscribe and unsubscribe, etc.

    Many thanks for your prompt response. I will contact my ISP and see what they say.

    In respect of your second point, I already do send such mailings to our generic membership enquiry mail address, with all the recipients then listed under bcc, for exactly the reasons you state, (and also to provide some protection to our members e:mails addresses) although I do not have any problem with you referencing it in your response for the benefit of others. However I'm only sending each mail to around 10 individuals, which as you can imagine, does take some time with a membership of around 300.

    Will also look into listserver software, do you have any suggestions?

    This Introduction to E-Mail List Handling (Listserver) Software article may help you make up your mind about what you need and also includes some links to example software.

    Personally, we have MDaemon as our mailserver which also includes a very flexible mailing list ability and although it may have features you do not need, could still work out cheaper than listeserver-only software.

    Hopefully others will chip in with some suggestions!
