    Need help with page setup/indent/auto-numbering (Word 2000)

    I have created a macro to type reports for a medical facility. My macro basically consists of four titles in the report. Under the prescription title, the medications are listed with numbers, for which I have used Word's style.

    COMMENTS:

    Once the reports are typed, they are sent to the medical facility, where the facility takes the body of the report and cuts & pastes it into their system under the client's account. The problem is that I can't seem to get the proper page setup/indentation, and the auto-numbering does not line up properly with the text once it is cut & pasted. I have tried many different settings, but the numbers either line up where the image is, or are pushed out into the middle of the report section. The facility sent me a copy of the template that they use, but I still can't make heads or tails out of what the settings should be. There is an image on the left side of the page, and the typed portion is to the right of it. I have included a copy of the facility's document so that you can see what I am talking about.

    I would really appreciate your help on this, as I am fairly new to creating documents within Word. Also, I'm not getting much feed-back from the facility, other than that the numbers aren't aligning correctly.

    Hi Atelby. It could be several things. I opened the attached and don't see any auto numbers in the facility document. Would it be possible for you to run your macro and fill in the <> portions with bogus information? That way we may be better able to see the results that is being worked with on the other end? Also, you state that they cut and paste into the document... do you know if they do that in pieces or do they cut the entire report you created and paste it into the report?

    Hi Karen,

    I have attached a test report so that you can see the actual titles and numbering I use. The top portion of my report, where it has PATIENT, ID, and DICTATED BY, is only used by the facility for client identification and is not cut & pasted. The facility cuts my entire report below the identifying information, starting at DIAGNOSIS:, and then pastes it into their document below the <contact> <client>. Once they have cut & pasted my report into their document, they then apply the doctor's signature below.

    I hope that this helps explain things a little more? If you need more information, please let me know. I really appreciate your help on this; it is driving me nuts!

    Well I'm afraid I don't have any news for you. I've combined the two according to what you said and I'm unable to recreate any improper number alignments. <img src=/S/shrug.gif border=0 alt=shrug width=39 height=15>

    I took a look at your attachments also. I copied the information & pasted it into your report. I don't see a problem in alignment either, & I use Word 2000. I've attached the resultant combination. Perhaps you could say how your document is different than the one I've attached.

    Thank you both for looking at the documents and testing things out. I think that because the problem lies on the other end, it cannot be duplicated in Word--which is why I am having such a problem! The facility uses an Avamark(spelling?) system, which must align things much differently. As I mentioned before, I'm not getting much feedback from the facility, other than that the numbers aren't aligning correctly. If the facility wasn't in another state, I would go over and try to figure things out in person. I guess I will have to try and get more cooperation from them, or their IT person.

    Phil, your report looks exactly like mine do on my end!

    Thanks to both of you again for all of your efforts. I at least know that I am not totally insane-YET!

    Windows applications have a significant degree of flexibility in copying data to and from the clipboard. When you copy an automatically numbered set of paragraphs in Word and then move the insertion point and choose Edit>Paste Special, and choose Unformatted text, you may get a sense of what the other application is doing with your input. Or it might be trying to interpret it as RTF...

    I think I see the problem now (not that I've figured out how to fix it). If you look at Phil's completed document, it will look fine until you view in normal mode. Then you will be able to see that my text is not aligning with the facility's template. I've been working on this for a couple of hours now, changing the left indent, first line indent, etc., but cannot figure it out! It must be a combination of alterations or something!? The closest I have gotten is to create a template with the left indent at 1.5 and the first line indent at -1.5; however, the page looks really strange on my end. Once it is cut and pasted though, it looks fine. Is there a way to fix this so it will look right while the document is being typed and then cut and pasted on the facility's side?

    Why worry about what the document looks like in Normal view? It doesn't resemble the printed output anyway. Only Print Layout view gives a (more or less) accurate idea of the way the document will look when printed.

    Thank you for your response Hans.

    I'm not sure if you have read my entire post, but the facility is having problems with the numbers not lining up correctly in their system. Everything looks fine on my end, that is until I view it in normal view. The whole point of my mentioning viewing in normal view is to try and shed some light on this situation for others. I am guessing that the view seen in normal view is what the facility is seeing on their end. As far as I know, the facility does not print out the reports, so the print view would not be accurate in this case, especially since they are complaining that things are not correct on their end. If you can shed more light on how I might fix this problem, it would be much appreciated.

    The problem seems to be in the template used at the facility: the text formatting is inconsistent:
    - The line starting with "Date" uses the Normal style, with a 1.5 inch left indent applied as direct formatting.
    - The line starting with "To" uses the Heading 7 style, which has a 1.5 inch left indent in the style definition. Heading 7 does not seem appropriate here.
    - The line starting with "<serv-doctorname>" uses the Body Text Indent style, which has a 2.5 inch left indent in the style definition, but with a 1.5 inch left indent applied as direct formatting.
    With such a mishmash of styles overlaid with direct formatting, it is difficult to obtain consistent results.

    Yes, I noticed that too. However, the only part I need to work with is the line below <contact> <client>, which is where my portion is cut & pasted. The hanging indent and first line indent are both at 1.5. I have been successful in getting everything lined up, except the darned numbering, which I know must be due to my being unfamiliar with Word's style. There are far too many tabs and indents to play with when formatting! I'm still working on it...

    I still don't know what the problem with the automatic numbering is.

    I think all text (both the text from the template and the text inserted by you) should be formatted as Normal, with a left indent of 0.

    I've almost got it, but am stuck on one setting. Maybe the attached document will help you see what I'm having problems with? You'll see that everything is aligning fine, except under the title PRESCRIPTION:. The numbers are fine, but if I happen to type enough to where there is a soft carriage return, then the next line of text doesn't align properly with the line above. Instead, it lines up with the numbers. I'm sure that this is one small setting, but haven't figured it out yet.

    The numbered paragraphs in your document don't have a special indent. If you apply a hanging indent of 0.25 inch, the text lines up correctly.
