    Revision Annotations (Word 2000 SP3)

    Is there any way short of putting a document in tables to put |R, |A, |D in the right or left margins to inidcate Revision, Addition, Deletion in the text to the left or right?

    Thank you for any input.......

    Hi Kirk:
    I take it you'd rather do this than use Track Changes, which will put a colored bar in the margin. One thing you could do is insert a frame in the margin, center the text within it, & type an R, A, or D. You would set the measurements (by double clicking on the frame border) to something like -.65 relative to margin for vertical & 0 from paragraph for horizontal. You could remove the frame borders using Format/Borders & Shading... (after selecting the frame). Then you'd save each of the frames as AutoText entries.

    Thanks Phil,

    Track changes will not work for this. We are wrting instructions /policy for the Navy and some require the annotation in the margin to help determine what has changed so review of the whole instruction is not required.

    I have not used frames.... Available in 2000? ... So I wil look into that.

    Hi Kirk:
    A couple of things:
    1. With tracked changes, you can have additions show up as red underlined, deletions as blue strikethrough, & have a purple vertical bar in the left margin. (You could use other formatting, if you chose.) This would make it very easy to see additions, deletions, & even formatting changes. You would set the track changes options to be visible on screen (or even for printing).
    2. Frames are definitely available in Word 2000. However, they are somewhat hidden. What I did was add the command to the Insert Menu, just below Text Box. Here's how you do it:

    <UL><LI>Go to Tools/Customize... & select the Commands tab.
    <LI>Under categories, choose Insert.
    <LI>On the right side, under commands, scroll to "Horizontal". (Not very intuitive. <img src=/S/smile.gif border=0 alt=smile width=15 height=15>)
    <LI>Drag it to the Insert Menu & the menu will expand. Keep the mouse button down & drag it to just below Text Box & release it.[/list]Now you'll be able to create frames whenever you want by clicking the command & drawing the frame. You could use a text box instead, but frames are a little more stable, as far as placement.
