    query unavailable for mailmerge (Office 2003/Windows XP)

    Hi,
    I have a query that prompts me for a training class name and start date that I wish to use as the source for an MS Word mailmerge, but when I click Open Source Document, the query is not listed. I can, of course, run the query in Access, export the Roster data to a Word file and then use it as the source, but it would be much more efficient if it would simply prompt me for the data and run from the Open Source Document command. Any suggestions? Thanks in advance.

    In Word, select Tools | Options...
    Activate the General tab.
    Tick the "Confirm conversion at Open" box.
    Click OK.

    Now, select the data source again (step 3 in the Mail Merge Wizard).
    You will be asked which method you want to use.
    Choose "MS Access Database via DDE", then click OK.
    The dialog that appears next has two tabs: Tables and Queries.
    Your parameter query should be listed in the Queries tab.
    Note: the parameter prompt may not get the focus automatically.
    If it doesn't, be alert for a flashing Access icon in the task bar, and if necessary use Alt+Tab to switch to the parameter prompt.

    Thank you, Hans, it works just like I wanted it to. I trust that it will apply to any interactive mailmerge queries I create from now on, is that correct?

    Yes, Word "remembers" this setting.

    Note: this setting will affect other operations too. For example if you open a text file in Word, you will be presented with several options. You can almost always ignore them and click OK.
