    Data Validation (2000)

    I need to send out a data gathering template. Based upon the person's name that I have in the spreadsheet, I want the individual to insert the title in the adjacent column; however, I want the title to be limited to: Attorney, Staff, Partner, Paralegal, Clerical.

    How do I accomplish this?

    Do the following:

    1- Select the cell where the title is to be entered.

    2- Select Validation from the Data menu.

    3- In the dialog box, drop down the list in the Allow drop down list and select "List".

    4- In the Source box enter

    <pre>Attorney,Staff,Partner,Paralegal,Clerical
    </pre>


    5- Click OK.

    The user should now be limited to the items in the list and can select the title from a drop down list.

    Somewhere else on the worksheet, or on another worksheet, enter the list of allowed values, say W1:W5.

    Next, select the cell or cells that will hold the title.
    Select Data | Validation...
    Select "List" in the first dropdown list.
    Click in the Source box and enter the address of the list of allowed values, or select that list with the mouse.
    Make sure that the check box "Dropdown list in cell" (or something similar) is ticked.
    Activate the Input Message tab. You can specify help texts here, they're optional.
    Next, activate the Error Alert tab. Make sure that the "Show error alert ..." check box is ticked, and set the Style to Stop. Specify a warning text that will be displayed.
    Click OK.

    In your template, before you send it out, create a list of the allowable titles.
    In the cell above the first title type in TITLES. Select a range which includes this cell and all of the titles.
    Then create a name for this list ---- Insert>Name>Create>TopRow

    Now assuming your users will enter their titles in Col B, you select B1 down thru the last possible title cell (B500 ?)
    Click on Data>Validation Select LIST in the drop-down box
    In the refers to: box type
    =TITILES
    (with the equal sign
    click ok

    Now your B??? range is limited to items in your TITLES list
