    TOC numbering & lettering

    Glad to have the lounge back online and see all your [img]/w3timages/icons/grin.gif[/img] faces again. Thanks to CGreaves for being my lifeline for the time the lounge was off line...
    I had this problem during the "dark time" and would still like to hear some of your ideas about it...KBMac replied in the old new lounge and hence her reply has been lost... (I'd love to hear from you again Karen!)
    Here's the issue:
    I am creating a manual with each chapter as a separate document (in W97). I have created a TOC as a separate document as well using RD codes to generate an accurate TOC for all the chapters.
    The TOC formatting is similar to:
    Introduction............1-1
    Overview............1-2
    Getting Started..1-3
    Help................1-4
    Message Line.....1-4
    Smart Screen.....1-6
    Policies and Procedures.2-1
    Policy..............2-1
    Procedure...........2-3

    I created this with styles and the TOC code:
    {TOC S CHAPTER O "1-3"}

    Before each Heading 1 in each chapter, I placed the field code:
    {SEQ CHAPTER R3 H * MERGEFORMAT}
    This indicates this is the beginning of chapter 3.

    And all is right with the world...[img]/w3timages/icons/laugh.gif[/img]
    UNTIL I try the Appendix. I want it to appear in the TOC as:
    Appendix...........A-1
    Charts.........A-1
    Graphics.......A-5

    If I use the SEQ code, I get "0" instead of "A" in the TOC. I have tried a bunch of combinations and nothing is working. How can I get the TOC to display a letter instead of a number?? Can this be done or am I trying to accomplish the impossible?

    Congratulations! You get the prize for remembering a name from a week ago when the "old-new lounge" disappeared. I'm lucky to remember anything for more than a day!

    Add this switch to your seq code and it will give you a capitalized alpha result:

    * ALPHABETIC

    The other part of my original reply (using heading numbering) probably wouldn't have worked -- I haven't tested it in a "master doc" type environment.

    How could I forget you, you helped me out a lot in the old, old lounge... and I saw your name everywhere!

    I did find and try the alphabetic number format, sorry I didn't mention that... I knew I forgot something [img]/w3timages/icons/doh.gif[/img].
    However, when I insert the switch in the heading, the footers displayed 0-3.

    HOWEVER, thanks to you giving me a good kick in the head, I tried it in the footer for the page numbers and vio...voil....TaDA!![img]/w3timages/icons/shy.gif[/img](shoulda' thought of that before.)

    NOW, for those of you playing at home, we run into the whole TOC issue. When I generate the TOC I only want the Appendix to show the letter and page number... A-3... with the alphabetic switch in the heading of the appendix, this actually works.

    I thought I knew all about TOC - you just insert Index and Table and there it is...

    However, I found out today that you can really customize TOCs and then your post convinced me that I don't know a thing! Here's my problem....

    I was given a Word97 document that has a hyperlinked TOC. I can see hidden location bookmarks (but only using Insert Bookmarks). I have toggled the fields etc., etc. But I have no clue how to build this Hyperlinked TOC and make it usable in a template. Everytime I update the hyperlinked TOC the hyperlinks are gone... I even tried inserting TC entries... couldn't make it work.

    I need to be able to create a template with this type of TOC.

    Any books titles/or tips you can share would be GREATLY appreciated.

    Hi RK:
    First, go to Tools/Templates & Add-ins & see if Automatically update document styles is on. If so, uncheck it--it applies your template style to the document. It's possible that your template doesn't provide the hyperlink.

    Also, when you say hyperlink, are you talking about the whole field hyperlinked (like Word 2000)? This will have a field code /h in the field. Or are you saying that clicking the page number doesn't take you to the heading. By the way, it's best if you use heading styles & build your TOC using the "from template" format.

    Hi Phil,

    I unchecked this and when I update field, the hyperlinked TOC becomes what I consider normal.

    When I select view field codes, this is what I see:
    { TOC o "1-3" h z }

    When I point to each TOC line (the hyperlink hand) and right click to toggle field, I get this type of code for each line with a different bookmark for each line:
    { HYPERLINK l "_Toc500323886" }

    When I go to Tools, Options to view bookmarks, they are not visible. I know it is best to use heading styles & build the TOC from template... but how do I get each heading to be hyperlinked to the heading section - in other words, instead of just the number being hyperlinked the whole heading is hyperlinked and each heading is seperately hyperlinked, but is one field.

    I would love to send it to you. Let me see if I can legally send it. My company is very confidentially oriented...

    Hi Ruth:
    It looks like you've solved your problem. The TOC in Word 2k is different than early versions, where only the page number is a hyperlink.

    If you delete the h in { TOC o "1-3" h z }, the TOC will become that way it used to be...only the page number will be a hyperlink.

    The { HYPERLINK l "_Toc500323886" } is a hidden bookmark. You can view these by pressing Ctrl Shift F5 & checking the button for viewing hidden bookmarks. They are simply bookmarks that mark each of your headings to that clicking the TOC takes you to the right spot. This is normal.

    I might point out that if you want to create a template with a TOC, you could start from scratch, without the document that you've converted & you should be able to build TOCs with hyperlinks, whichever way you choose.

    Well I am happy... the problem.... Word97 vs Word2K. I loaded Word2k for another project, and low an behold... my problem is solved!! (The client failed to tell me that they had upgraded to Word2k). You can bet I'll ask next time!!
