    Query Data and Report Data Don't Match (Acess 2000

    We are trying to print a simple set of mailing labels of all our active members.

    We have a query which selects the active members from all the people in the database, and a report (labels) based on that query. If we run the query, it pulls up 1588 members. This is what we expect. But when we go to print the labels, there are about 1700 printed labels! How can this be?

    I have even gone into the report and pulled up the query from the data properties window - it pulls up 1588 members.

    We have already tried using two different front ends on two different computers, and have also created an entirely new query (in a linked database) with the same criteria and an entirely new Label report (also in the linked database) based on that new query - with exactly the same results.

    Currently we have printed the query results and are going through matching with the labels to see what's coming up on the labels that isn't in the query to try to get to the bottom of this, but if anyone has any suggestions of a better way to approach this we'd sure be open to it!

    I fear that we'd have to see (a stripped down copy of) the database to be able to help.

    Strange. Have you tried using this query in any other report to see how many you get?

    Also, did you actually print out the labels, or just view them? I ask because in the past I've had situations in which the last line of labels was not being printed on each page, so I got alot more pages, which made it look like I was printing more labels. This was not easily noticeable when viewing, especially if you have alot of labels per page.

    Well, we don't really know what happened. But in the end it seems to be that what actually printed was right and what was on the screen was wrong.

    The screen showed 53 pages 33 labels each on one computer, and 59 pages of 30 labels each on another computer (that's because the second computer has the situation you describe Mark - it formats for a printer that it thinks can't print the bottom row of labels). Of course each set of labels was a few short on the very last page, but a quick look looked like every other page was set up as normal with all labels printing.

    I did try your idea of making a completely new report - not labels ( we had already tried that - same results). I made a report that had just one member per page. That one came out fine: 1588 pages.

    When we took the time to match the printed query name for name with the printed labels, it turned out to be right. Don't ask me how! I was hoping for a higher tech (faster) check, but in this case the old fashioned method did it I guess. For once we can be glad we don't have more members!

    So case closed - even though what shows on the screen for those labels certainly remains a mystery.
