    Adding information to Calendar (2003 on XP Pro 2003 SP1)

    When I put an appointment in the Calendar, my new boss would like to have some detailed information about it. He prefers not to have to open the appointment to see the notes section. I thought Notes might work but they don't seem to stick in Calendar. Is there anything else I can use which is easily visible?

    Thanks in advance for any suggestions.

    What does your boss want to see? If the notes aren't associated with the calendar item either as body text or an attachment, how would he know where they belong?

    Outlook Notes or other attached documents will work with one major downside. Attachments can be simply attached. Outlook Notes need to be attached using the Insert Item dialog. The major downside is 1. if the boss is the meeting originator and reissues the meetings, the attachments will be sent to invitees, and 2. if the boss ISN'T the originator, and an update is sent, your boss will lose the attachments.

    One other approach might be to include a hyperlink to a file, but that will have to be in the meeting body text.

    And I know this doesn't help you, but I think your boss needs to get used to how Outlook works!

    Thanks for your reply, John. I understand what you're saying but if he's just looking at the one day calendar, there is nothing to indicate there is more information without actually opening the appointment. Not all appointments need extra details. The hyperlink might work if labelled the ones he needs to open with a particular colour.

    Yes, he does need to learn more about Outlook and he's slowly getting there. But he's an American who has become CEO of an Australian company and he's never lived in this country before. He used to use Lotusnotes and I think he is having trouble getting his head around our down-under ways and doesn't want to have to worry about Outlook as well.

    More seriously, if he has a big monitor screen, he could try turning on the Preview Pane in Calendar, so when he clicks on an appointment, the appointment details show in the pane. I have tried it at 800x600 resolution and don't like it nearly as much as just opening the appointment, but try it yourself and see if you think your boss will like it. (The problem is that the top of the preview pane includes a lot of grey space, and you still have to open it to see all the body text, unless you have a lot of screen space and high resolution. AFAIK the Preview Pane layout is not customizable.) Of course you could try it on him without asking and if he really hates it he might be happy to get back to the status quo! <img src=/S/evilgrin.gif border=0 alt=evilgrin width=15 height=15>

    Well, but you're an Aussie !! Enough said - you know how adaptable we are.

    The preview pane might work. I hadn't found that previously. I'll give that a try and see how we go.
