    Mail Merge Address Block (2003)

    My mail merge document uses Word's Address Block. A few of the addresses in my data source contain a third line (Address3) which needs to be printed below the street address (Address1) and and optional second line of street address (Address2) before the City, State, ZIP line. I've matched the Address3 field in my data source to the optional Address3 field in the Address Block, but Address3 never prints.

    What must I do to make the Address3 line print when, and only when, it exists?

    The address block is an AutoText entry named AddressLayout. This can be modified, see MSKB article HOW TO: Modify the Layout of an Address Book Entry in Word 2000.

    This seems different in Word 2003. I don't find any such AutoText, and when I use ALT+F9 to look at the AddressBlock, I see stuff that is different than what is described in the KB article.

    Overly large screenshot cropped by HansV - it caused horizontal scrolling on smaller screens.

    What is your data source? If you use an Outlook address book. it works fine. Although the third address line doesn't show as a field code, it still prints. See this screenshot from Word. It prints exactly as it appears here.

    My data source is an Access table. I had the same problem when the data source was an Excel workbook.

    I've gotten around the problem by replacing the address block with five lines of fields. If a field is blank (such as Address3 almost always is), Word does NOT print a blank line.
