    Mail merge query (WinNT4, Word97)

I'm doing a mailmerge where the output is letters, and most of them are simply a letter per record. However, some consist of several records going to the same person/company but with different subjects. I'm sure I've seen somewhere how to tell Word, basically, if this field is the same as the previous one, add that field to the list on this letter (ie don't create a new one).

Can someone remind me how this is done? I've tried Word's help but it's not much help (as it were!).

    Many thanks

See MSKB article WD97: How to Use Mail Merge to Create a List Sorted by Category. Read carefully, it's not trivial.

Re: Mail merge query (WinNT4, Word97)

    Another problem, Hans!

Using the principle of this code, I have a mailmerge with multiple records, but I need the multiple records area to be in the middle of the letter.

So far I made it work by puting part 2 of the letter at the top and part 1 at the bottom, with the multiple bit after it; it works perfectly, but it means that the name of the signatory at the bottom of the letter is wrong, because it's taken from the next record instead of the current one.

The alternative is to use IF statements (IF MergeSeq = 1, use {top of letter with first multiple}, elseif MergeSeq = the one before the next MergeSeq = 1, use {multiple plus bottom of letter}, else use {multiple only}. This would be perfect except I can't figure out how to tell Word that this is "the one before the next MergeSeq = 1"!

The only way I can think of is to have markers in the XL spreadsheet again, and I'd rather not due to the ineptness of the users providing the spreadsheet!

Any suggestions would be greatly appreciated!

Perhaps the thread starting at <post#=480,309>post 480,309</post: > is useful, but it uses an Access data source. Let me know if you would like a version with an Excel data source.

Shows how long it is since I've had a chance to look at this! I ended up doing it with the XL markers, but I will have a look at the suggested post when I get a chance. Thanks, Hans.
