moving data from one calendar to another (MS Outlo

I created a common calendar for our service group to use so that they can keep track of each others comings and goings. Everyone was happy with it and started putting in their respective important dates. Now a number of the managers in the group would like to take information that they have in their own calendars and have them added to the new common calendar (without actually having to do any of the manual entry)?

Does anyone know of a way to port data from one Outlook Calendar to another?

Using Outlook 2003 / Exchange 2003, if you display your personal calendar side-by-side with the public calendar, you can Ctrl+drag to copy items from one to the other. (I just tested with one item in a single-day view; there might be more efficient ways to do this with other views.)

If there is a great deal of data to be copied try what is enclosed in the attachment.

Unfortunately, I had to eleminate the various screen shots in order to meet the size requirement. Even zipped it was above the limit.

You could create a Group Veiw if you are using Exchange.

the drawback is that, unles someone else know better, each individual has to create their own Group View, however a simple set of standard instruction can help (see attachment which is a part of a larger document). Remember that individuals need to set their calendar permissions to view and they can mark items as private. Other than privat appointments the group display should show you the appointment and hovering over it will expand it. - It's also useful for meeting room bookings.

the benefit is no copying about. Jefferson is right that you can copy from one calendar to another, however it is easy to inadvertently move the items, and you have to do you own housekeeping in terms of synchronisation as duplicates ommissions and errors are easily made. In addition if there is a meeting that several people are going to and they all copy to the global calendar it may not be apparent thet several entries are in fact one meeting.

    good luck............... Liz
