    Forms and Track Changes (Word XP)

    Hi again. I have a question to which I think I know the answer, but I want to make sure by polling the brainpower lurking here, too.

    I have designed a template which utilizes form protection, so authors can't edit certain sections of documents that have mandatory text. Unfortunately, the use of Track Changes has gained a foothold here (in spite of my best efforts to explain why it shouldn't be used), and some groups are not pleased that Word's Forms and Track Changes protection features seem to be mutually exclusive. Before I try to explain why it's not such a bad thing to give up, I just want to make sure that I'm correct, i.e. that you can't use "track changes" for a document that is "protected for forms." (I'm not particularly upset that they seem to be incompatible, since most of the document corruption I see here is in some way connected with the use and misuse of Track Changes.)

    So, is this in fact true? And does Word 2003 (or the next version) provide any improvement on protecting documents, such as allowing the use of both features?

    I can confirm that Word 2003 SP1 does not allow tracked changes to be enabled in a document protected for forms, but I don't agre with your observation about the stability of documents with tracked changes, my team use them heavily with no obvious harmful effects.

    If you unprotect the document, turn on tracked changes, and re-protect the relevant sections for forms, then revision marks are created not only to your unprotected sections but also inside your form controls, making a visual disaster of the form. But it does track changes, for what it's worth. Maybe they will be happy... (Actually, I didn't check to see what happened if a different author then edited the form entries of the first author, so I'm not positive that you get the full functionality, such as it is.)

    Added: If the sections you are protecting for "forms" don't contain form controls, then the visual disaster problem does not apply to you. <img src=/S/grin.gif border=0 alt=grin width=15 height=15>
