    Tracked changes as one reviewer (Word 2002)

    This may sound a little strange, but here goes.

    We have a document that was reviewed using Tracked Changes by multiple reviewers. The marked up document needs to be sent to the client. Some of the reviewers are unknown to the client, therefore we don't want those reviewers names to display with their markups. Is there a way to change the reviewer's name that displays for the Tracked Changes?

    I was able to find another post where the color was changed for the same reviewer by changing the User name in Tools>>Options>>User Information. Anyway to do this after the fact?

    The name information is "read only," so there is no simple programmatic way to do it. If you check the box to remove personal information when saving (Tools>Options..., Security), the names of all reviewers should change to "unknown." That's the most automatic approach. Other methods, such as saving a version with changed accepted and then running a compare against the original, risk the all-too-frequent failure of Word's comparison engine. Finally, if the changes can be "hard coded" rather than actual revision marks, I posted a macro a while ago that will do that.

    Does any of that sound useful?

    Thank you.

    I think changing everyone to "unknown" would be a good solution coupled with changing all the colors to red.

    Unfortunately, I don't think you can control the color chosen for "unknown" on the recipient's computer, but since there will only be that one author, whatever color it is will be consistent. <img src=/S/smile.gif border=0 alt=smile width=15 height=15> I think on mine "unknown's" changes shows in gray, but it's difficult to remember...

    As you said, as long as only one color is displayed and all the markups display "unknown" as the author, the client should be happy.

    It is possible to change the reviewer associated with a particular set of changes (or an individual change if you're really adventurous) with a fairly simple RTF hack. See <post#=441718>post 441718</post#>, or (shameless plug alert) Hack #41 in my book.
