    Graphics in Word (Office 2003)

    I know this is probably an easy one, but where does Word look for graphics which have simply been inserted into a document. I have inherited a document which is to be used in conjuction with a system and need to ensure that the graphics are held locally. Can you advise me how to get this to work?

    All help would be appreciated!

    Unless the graphics have been inserted as a link, they will be stored in the document itself. You can check as follows: right-click a picture.

    If there is no option Toggle Field Codes in the popup menu, the picture has not been inserted as a link, i.e. it is stored in the document.

    If there is such an option, click it. If you see a field code containing INSERTPICTURE or LINK, the name of the source file will be listed. Right-click and select Toggle Field Codes again to hide the field codes.

    Thanks Hans! Yes!! that's what I thought.

    However this particular graphic is not linked (or at least I can't find any reference to it!) even though the person who sent it to me can see it, it does not appear when I read it. Any ideas?

    Is the graphic completely missing, or do you see an outline of it, or a rectangle with a diagonal red cross?

    There are some things you can try. Start by making a copy of the document, so that you still have the original if things go wrong.

    - Make sure that "Picture Placeholders" is not ticked in the View tab of Tools | Options...
    - Quit all other applications to rule out memory/resources problems.

    - Select the "square", then select Format | Picture... (or whatever the last item in the Format menu says).
    - Activate the Layout tab.
    - If Wrapping style is set to "In line with text", set it to "Square" and click OK. Then repeat, but now set it back to "In line with text".
    - If Wrapping style was one of the other options, set it to "In line with text", click OK, then set it to the original option again.

    - Save the document as a .htm file, close and reopen the .htm file and save it as a Word document. This will probably also create a subfolder with image files, you can see if you can open them directly.
