    'Rules Wizard' for incoming email messages (2003)

    I have trying to set up some rules based on the content of messages which are sent to me from the "Systems Administrator" (to deal with those instances where the email address no longer exists on our Exchange server), and put them straight into the Deleted Items folder. I've tried several different methods, but none seems to trigger. Are messages from the Systems Administrator dealt with, somehow, as a "special case"?

    I have a further, later, rule (which works!) saying that messages to Systems Administrator should be put in my Probable Spam folder, but the rule which attempts to process these messages previously, based on words in the body of the message, doesn't operate...

    You could test it by sending yourself an identical message, and remove the requirement for it to be from the "Systems Administrator" - this may rule out whether or not it is a special case.

    Yes, forwarding the message to me causes it to be put in Deleted Items. Grrrrh...!

    I believe there is something very special about these messages. I use delivery receipts, so I have tried hard to shuffle these out of the Inbox and have not found a way. Possibly it works in the "Run Now" mode but not in real time, as though the server was sending a special response that Outlook formulates into a message, rather than actually sending a message that a rule can act on. Frustrating!

    The (currently deactivated) rule that didn't work looked for the phrase "was delivered to the following recipient(s)" but I might have tried other things, too.

    Added: These items are of olClass 46 (olReport) rather than 43 (olMail), which might have something to do with the Rules Wizard's difficulty in dealing with them. Maybe...

    John, try to check if the arriving messages uses the Report Form Type - see Rules Wizard graphic attached.

    Criteria:

    "Delivered:" in the subject
    "postmaster@domain.name" in the header

    Action:

    Move it to specified folder
    and stop processing more rules

    I am so happy this question was posted. <img src=/S/grin.gif border=0 alt=grin width=15 height=15> Hopefully the original requestor will be happy, too.

    Added: In re-reading JohnGray's original post, he is interested in messages with "Undeliverable:" in the subject line, which seems like a simple change... hopefully without capturing externally generated nondevelivery reports.

    Regarding delivery receipts: Try this rule: "where my name is in the To box, and with Read: in the subject, move it to the Responses folder." Mine seems to catch about 95% of the responses. I have an exception for High Importance, and those still go to my inbox.
