    Mail Merge Recipients (Word XP)

    I have a problem with my Word merge form or the data which is set up in Access. When I try to edit the Mail Recipient Box for the merge, I cannot edit because the button is greyed out. Help, please!

    I don't do very much merging, so I can hardly begin... one immediate question: Is this a merge to e-mail?

    No, I made forms of pleadings with merge codes (I work for a law firm) and used Access to merge it with in order to print them. I have done other merge forms and data bases like that before. But this one for some reason will not let me get into the Edit function in the Mail Merge Recipients. I even created another database with the same records, and it will not do it either. Is it something in the form? Another thing I found out is that an Access field must be limited to a certain amount of characters because I tried to type in a dollar amount in words, not numbers, all caps (like TWENTY THOUSAND SIX HUNDRED NINETY-FIVE DOLLARS EIGHTY-SEVEN CENTS) and it did not take all the characters. Maybe I have to start over and do a database in Excel or Word. But if you happen to know why I have this problem in Access, please let me know. Thanks for your help.

    I tried to send print screens, but they are too big.
    I don't know how to send a stripped version of an Access table. Do you just want the text copied in?

    It's been a while since I looked into this. I think text fields normally hold up to 255 characters, or that queries return the first 255 characters. Either way, the design of Access itself shouldn't truncate that short a string. However, your merge data source might have been set for, say, 40 characters. I don't do enough merges to know whether you can change this in Word's dialogs or whether you might need to tweak the underlying data file using Access.

    Good idea - I did change the text fields to 250 and it worked, but the edit part I'll have to think on it next week. I'ts almost time to go home and enjoy the weekend. Thanks for your help!

    Hmm, I never use Access for mail merges, but did find this forum thread which may help. It sounded like it was the same problem and, although none of the suggestions solved her problem, they might have something to do with yours ??

    You might also like to post to the Microsoft mail merge forum where I found that post ---- several MVPs hang out there.
