    Doc with VISIO Object Links BIG! (Word 2003 SP2)

    Does anyone know if there is an easy way to reduce the size of a Word doc that has "objects" linked into it - in this case, 9 VISIO 2003 flowchart files (all < 80k)? The Word doc is ~120k without the objects linked in, and almost 32MB with all of the file links (the files are actively linked - I don't know if that makes any difference or not, though). Even after I PDFed it, and it was still 5MB!

    This Word doc is not equal to the sum of its parts!

    Do you need the user to be able to launch the Visio files directly out of Word? If not, you could try locking the embedded object to its visible results. Testing on a copy of the document, try selecting each chart and pressing Ctrl+Shift+F9, the shortcut that converts fields to their results -- probably as pictures. Assuming you don't lose anything important in the process, save and check File>Properties..., General tab. Your file should be fairly slim.

    Sorry, I see now you said linked many times. I don't know whether this applies to linked objects. But then, I thought linked objects didn't take up much space. <img src=/S/wink.gif border=0 alt=wink width=15 height=15>

    In a copy of the Word document try this. Select each graphic and do a Cut, then choose Edit > Paste Special > Enhanced Metafile. When you have finished with each of the graphics, do a Save As (to ensure that any fast save information is removed). What is the file size after doing this?

    The file space savings are not as great if your visio flow charts have gradient fills in them as each tone (255 steps typically) is saved as a separate object when using metafile formats. You can optimise the file sizes if gradients are avoided.

    I tried your approach, first, but the flowchart background shapes changed on me - they all defaulted to rectangles. The size did get smaller, though.

    This worked like a charm! <img src=/S/cheers.gif border=0 alt=cheers width=30 height=16> The final file size, after changing all 9 linked Visio flowcharts, is ~410k!

    I'll be maintaining 2 versions of this Word doc now, as I am not willing to give up the ease-of -use aspect of the original active linked document (I'm taking the stance that "disk space is cheap" on the server at work until told otherwise).
