    Adding resources (2k3)

    i have a project where i assigned myself 40 hour work weeks across a bunch of different tasks. now i need to add hours for other people and i'm trying to figure out what view is the best to use to do this. the gantt view seems limited since i can only use the percentages, but resource tasks doesn't seem to enter hours the way i'd like them to either. is there a better view to do this? i want to allocate a certain amount of hours, for example 100 hours, across a task that has a 5 week time period for another person. what is the best way to do that?

    Hi John,

    I would use a split view with Gantt Chart in the top screen and the Task Form in the bottom screen. You can select a task from the task entry table in the top of the screen then manipulate any element of the Project scheduling formula from the task form. You can click in the resource name column of the task form and select a resource then click OK to get Project to update. If you do not like the hours or units you can edit them from the the task form as well. The only level of detail you are not able to control from this screen setup is how the hours are allocated across days. For that you would have to use Resource Usage or Task Usage.

    New resources should be added in the resource sheet. Be sure to coordinate the resource calendar with your project base calendar and set appropriate schedule and non-working days for your additional resources in there resource calendars.

    have you tried creating a Resource Pool. It is basically a seperate Project file that contains only resource information like names, rates , hours at work, lunch periods and days worked...just an idea

    the split view thing seems reasonable, i'll try doing the hours stuff there. i guess it will take some playing around to figure out.

    hey jerry,

    nah i haven't tried that mostly because i don't really know anything about project <img src=/S/shrug.gif border=0 alt=shrug width=39 height=15> also, i don't really care about rates, hours at work, lunch, or days worked, i just need to allocate a certain amount of hours to use up the amount my boss gave me. so basically, some guy will be charging our account for a total of say 100 hours over a 5 week period for various tasks... he won't necessarily be doing the same amount each week or anything, he may not even use them up or someone else might use some. the schedule is only a guide where i need to use all of the hours.

    Projects are scheduled around a calendar. The default project base calendar is the Standard Calendar. The Standard calendar comes with the software and defines the schedule as Monday - Friday 8-5 with Saturday and Sunday non working days. What this means to Project is that if you have a task of 5 days (or 1 week both are the same to Project) duration if it begins on a Monday it will end the following Friday, if you have a 5 day task that begins on a Tuesday it will end on the following Monday. Duration to Project is defined as working days as setup in the Project base calendar. The base calendar is assigned in the Project Information dialog box. It is a good practice to create a new named base calendar that contains the non-working days (holidays) for your organization so Project calculates them into your schedule. It is not a good practice to make changes to the Standard calendar template as for the Project you lose the template to make additional calendars from.

    In addition the the base calendar that the project is scheduled around each resource of a work type you add to the resource sheet Project will generate a resource calendar specific to that resource. The base calendar for the resource is listed in the Calendar column in the resource sheet. It will be Standard by default. If you go to Tools Change Working Time you will see in addition to the three calendars that come with your software (Standard, Night Shift, and 24 hour) a calendar for each resource will be in the list. By using a resources calendar you can define a calendar pertinent to a specific resource. Another words have non- working days or hours that a resource is scheduled around. A resource calendar only will effect work assigned to that resource. You also have the ability to create a Task calendar in Project. You would create a named calendar that you assign to a specific task. I do not personally use task calendars. I can control those elements with a base calendar and resource calendars, no need to increase complexity, already enough in Project.

    Once you have created a base calendar for the Project plan you can save it the the Global.mpt file. In Project this is called the Organizer and is found in the Tools menu. The Global.mpt file is external of the plan file. It allows you to create custom objects that become available to all other Projects on the PC it resides on. This eliminates duplicate object creation for things you want to use in multiple projects.

    Good luck!! If you still find assigning resources challenging I have a tutorial I wrote for assigning resources when I was doing a lot of Project training. If you are interested, it is a several page Word document I could post it as an attachment.
