Group Calendar in Public Folders (2003)

Hi, I am attempting to create a "TimeOff Calendar" for a 60+ company. This company is in the process of switching to Outlook 2003 with Exchange Server and the IT person doesn't really know Outlook/Exchange. However, she gave me permission to create public folders. I have created a New Folder in Public Folders with "Calendar Items". I am the owner; everyone else has permission to add items and to edit their own (they cannot delete anything).

My simple question is how to add US Holidays to this Public Folder Calendar?

    Thanks,

According to Microsoft Outlook Holiday Issues

You cannot add holidays directly to a public folder. Instead, add them to your default Calendar folder either by using the Add Holidays method or by importing from a file with the Import and Export Wizard. Then, move or copy the new holiday items to your public folder.

    See the link for details.

    Thanks, Hans.

After reading the link and fumbling around quite a bit, I still cannot figure out how to copy the holidays. I found the Outlook.hol file and modified it to contain only US holidays and made it an Excel file. However, I could not Import it. When the Import wizard asked for me to Select a Destination, the Public Folders were not there to select.

I'm sorry for being so dense ...

As the Slipstick article mentions, you cannot import holidays directly into a public folder. You will have to import them into your default Outlook calendar. Then do the following (courtesy of To remove duplicate holidays from the Calendar folder in Microsoft Outlook on the same site):
    1.
Select View | Arrange By | Current View | Events. All the holidays will be listed under the Recurrence: (none) group.

Right-click any column heading, then choose Field Chooser.

In the Field Chooser, switch from the Frequently-used fields list to Date/Time fields.

Drag the Created date to the view to add it to the fields displayed.

Click on the Created column header to sort by that field.

You should now see two distinct sets of holidays, each in reverse chronological order.

Click on the first holiday of the set created today.

Use the scroll bar to view the last holiday of that set. Hold down the Shift key as you click on the last holiday created today. This selects all the holidays in that set.

Cut the selected holidays, then paste them into the public calendar folder.

Switch back to your calendar.

Drag the Created column header out of the view to remove it.

Restore the original calendar view.

Re: Group Calendar in Public Folders (2003)

Thank you very much. I learned a lot about customizing the Calendar from the steps you provided. And, I was able to copy the holidays to the public calendar!

You are very kind and helpful,
